Remote, Oregon, United States Parisleaf Full time

About You

You're a natural leader who thrives in an environment where your ability to build and maintain relationships is equally important to your attention to detail and ability to focus on the tools and data that keep our projects on track and our agency profitable. Jumping from meeting to meeting with a positive and generous spirit while seamlessly updating your team with notes, tasks, changes, and impacts is second nature to you.

You're a great listener who can quickly understand branding and communication challenges from a client's perspective, work with the team to craft and vet the proper strategy that aligns with our client's goals, and translate those needs into process & action items. You've experienced both success and failure many times when managing projects and know how to spot a strategy that is not working and pivot quickly into a new plan.

You recognize that clear, concise, and candid communications help everyone to succeed. The velocity at which you deliver good news is the same for bad news. You care about transparency in communications and flagging issues or initiating difficult conversations when needed. And you can do it all calmly and confidently–in writing, just as well as in person.

Our clients see you as a partner throughout the entire process. You're motivated, flexible, and highly curious. You thrive in an open, collaborative environment. You care as much about our core values (gratitude, responsibility, integrity, candor, and empathy) as we do.

You are highly organized, with strong task management, timeline, and communication skills. You are responsive and flexible while not losing sight of details. You are incredible at note-taking and following-up. You are in your element in a fast-paced environment. Often described as a power-user, you naturally gravitate towards tools and systems that encourage order and clarity.

You will be working with the best of the best, including designers, creative directors, writers, strategists, web designers & developers, and management during every phase of our projects. One of your greatest callings and personal fulfillments is to set others up for success - whether it be the internal creative team, or our partners themselves. You thrive in bringing clarity & process to ambiguity, it's like that's what you were born to do, and you never run out of ideas on ways to make it happen.

You're experienced in project management in an agency setting, and can use that experience to support a team to be more efficient and effective and to adhere to agency policies and procedures. And you're not bashful about addressing issues when you see them. You enjoy learning as well as mentoring and are eager to build upon Parisleaf's PM discipline, champion project management best practices, and support agency operations as we continue to grow.

Your biggest strengths are your confidence and "can do" attitude. You have a strong sense of pride in the quality of work being produced. You would rather do what's best for our partners rather than merely striving to make them happy at all costs, understanding that what's best for our partners isn't always what appears to be what will make them happiest in the moment. You understand that our role is to strategically advise and partner rather than take orders and seen as a vendor; and you've learned how to truly address a client's concerns in a way that is affirming, winsome, and confident.

The Role

The Senior Project Manager will work closely with our operations team, business development team, project teams, and our clients to help service our clients' needs. Typical tasks include:

Project Work

  • Manage and support multidisciplinary project teams located in multiple geographic locations simultaneously through the entire project lifecycle (planning, executing, monitoring, and closure).
  • Administer our project management tools to create a realistic view of tasks, deadlines, and related resourcing plans. Asana experience required.
  • Develop, communicate, and maintain the project, risk, acceptance, and communication plans in partnership with clients, while keeping a pulse on timeline, budget, and scope and adjusting or addressing as needed.
  • Serve as a primary point-of-contact for project stakeholders (including executive level).
  • Support, facilitate, and in some cases lead internal and external meetings while recording organized notes and action items.
  • Provide quality control reviews on assets before delivery.
  • Work with the client and project team to define and manage ongoing brand activation project backlogs, and ensure this work is completed & in alignment with the client's goals.
  • Partner with strategists to manage client stakeholders, set and maintain expectations, and craft project socialization strategies that fit our scope and timeline.
  • Manage project communications with contractors as needed to secure SOWs, align timelines, schedule client meetings, and integrate them into the Parisleaf way and client relationships.
  • Proactively anticipate challenges and seek support.

Internal Operations Support

  • Understand, allocate, and anticipate project resource volumes and dependencies, proactively managing and resolving resource issues in collaboration with your project management colleagues.
  • Ensure accurate data and reporting to the COO to facilitate high-level operations, client relations, and financial management and planning.
  • Support Business Development to further grow active accounts, including, but not limited to, estimating and disseminating statements of work, reviewing contracts, pitching, and closing new opportunities.
  • Report to leadership regularly and provide account, team, and resourcing updates, as well as flagging risk and elevating critical issues.
  • Partner with the leadership team to identify, discuss, and improve operational processes and business strategy.
  • Onboard new teammates to the project management process and current client relationships.
  • Oversee the management of internal projects and initiatives as scoped and defined by the Parisleaf leadership team.
  • Manage the accountability of the team in all aspects of project and agency operations.

Background/Requirements

Minimum of 10+ years of experience in a client-facing management role for a consultancy (creative agency experience preferred), working with other managers to share resources and prioritize a portfolio of project needs with both the client and the company's production staff. Experience in the higher education/non-profit campaign fundraising space is an added bonus.
This is a full-time remote salaried position commensurate with experience. We are a fully distributed team. Occasional travel is required. We are only accepting applications from candidates currently residing in the continental United States. We are committed to building a diverse and passionate team. Women, people of color, and LGBTQ+ individuals are encouraged to apply.
