Reports to:
Peri-Operative Materials Manager/Computer Supervisor

GENERAL SUMMARY
Works under the supervision of the Peri-Operative Materials Manager/Computer Supervisor.

The Surgery Scheduling Coordinator's primary job function is to schedule cases for the operating rooms, interventional radiology, C-sections for maternity, pre-operative anesthesia consults, special requests for anesthesia throughout the hospital in addition to cardiac testing lab and to ensure maximum utilization of resources.

Resolves equipment, supplies, and staff conflicts prior to publishing schedules, and emails/faxes throughout the hospital twice daily. Processes patient charges in a complete, accurate and timely manner. Work with patient billing to make sure OR/Anesthesia/PACU charges are correct. Send previous days' patient and procedure information to surgeon's office. Enter call schedules for all services (OR/Anesthesia/CVOR) in both call systems. Maintains files of surgeons scheduling faxes for accuracy.

QUALIFICATIONS

Education:

  • High School Diploma or successful completion of an equivalent High School Exam Required
  • Medical terminology required
  • Additional course work in data entry preferred

Licensure:

  • N/A

Experience:

  • Job related experience preferred.

Interpersonal Skills:

  • Ability to communicate positively under stress; excellent interpersonal skills needed to deal with physicians, staff, patients and families.

Essential Technical/Motor Skills:

  • Computer operations, fax, telephone. Precise eye and hand coordination to input scheduling of procedures and patient charges in the computer with accuracy in a timely fashion.

Essential Physical Requirements:

  • Sitting and typing six to seven hours a day, speaking coherently on the telephone with multiple personnel. The physical demand is sedentary to light. Occasionally lifts 20 pounds or less.

Essential Mental Requirements:

  • Attend to multiple details simultaneously, logically and solve operational problems under stress. Must be able to cope when occasionally working under close supervision and without the assistance of other personnel. Analytical ability to gather/interpret data for reports.

Essential Sensory Requirements:

  • Sufficient hearing and vision to perform duties accurately, precisely and in a timely, efficient manner.

Exposure to Hazards:

  • Works in a patient care environment, exposed to various diseases and unpleasant areas of patient care. Works in environment with exposure to noise and computer energy.

Other:

  • Working knowledge of word processing software (i.e., Microsoft Word etc.) preferred.

JOB SPECIFIC DUTIES AND PERFORMANCE EXPECTATIONS

  • Schedules surgical cases in the surgical computer system as policy dictates.
  • Processes patient charges through surgical computer system in an accurate and timely manner.
  • Provides Anesthesia provider with anesthesia charge information.
  • Accurately journals and checks the operative records.
  • Distributes daily and monthly operative statistical reports.
  • Prints and distributes surgery schedule as indicated.
  • Requests Anesthesia consultation by telephone or computer as needed per physician's order.
