This position requires about 30 hours per week.

The Events Manager reports to the Executive Director. The core function of the Events Manager is the coordination of in-person events, including securing vendors, and other items to create a successful experience for the attendees, and other duties as assigned or requested.

The Events Manager position requires an organized, enthusiastic, and flexible individual who is capable of thinking on her/his feet, takes initiative, when necessary, can work independently and is highly motivated. The person should be creative and have excellent customer service skills.

Responsibilities include:

Connect, Summit, Emerging Leaders and other in-person events

In conjunction with the Executive Director:

Coordinate the logistics of in-person meetings, including creating and distributing rfps and securing hotel proposals, negotiating hotel contracts, assigning rooms for the events, working with the hotel on the room block and rooming lists, securing and other necessary vendors (Audio Visual, Transportation, Entertainment, Tours, Printing Companies), and negotiate contracts, ensure all details for the events are handled so attendees have a great experience within the budgetary confinements. On-site of in-person meetings -- manage all aspects of the event, manage contracted travel staff.

Provide input on event promotion.

Once presenters are booked, work with them on their room set up, AV and sleeping room needs.

Work with exhibitors for the tabletop product show. Compile shipping, AV, electrical info for exhibitor prospectus.

Work with hotel on tabletop exhibit floor plan.

*Attend Events Committee meetings and do any follow-up work generated from the meetings.

Reconcile the hotel and other vendors bills, determine discrepancies and follow up.

Miscellaneous responsibilities to support the Executive Director.

The ideal candidate for this position will have meeting planning experience, including site selection, researching, and securing speakers, understanding and negotiating fees, working with hotel prior to, during and after an event.

Excellent organization skills, initiative, follow-up skills and attention to detail. Proven ability to work on a variety of projects simultaneously and independently.

Strong skills in process management, database management, customer service and project management with ability to work independently and as part of a team. Strong ability to prioritize multiple tasks and meet deadlines.

Demonstrated proficiency in MS Word, Excel & Outlook.

Vision, creativity, and an entrepreneurial spirit, combined with strong project management, organizational and communication skills are important in this position.
