SUMMARY
Work closely with the Director of Conservatory Operations to coordinate all logistical functions of the Conservatory, serve as liaison between Conservatory faculty and other administrative offices on campus, and provide a high level of support to Conservatory faculty, students, and administrators.
JOB RESPONSIBILITIES:
Work within a team of three full-time staff members to coordinate all logistical aspects of the Conservatory. The team is extremely flexible and collaborative, with all team members able to perform most of the essential day-to-day functions. Our goal is to be an efficient and effective team of people who will make life easier and more fun for the entire Lawrence community.
  • Staff the main conservatory office during open office hours, performing duties that will likely include scheduling rooms for rehearsals, assisting faculty with printing and copying projects, supervising student workers, and collaborating with other departments across campus to organize use of Conservatory facilities. The office is a vibrant and fast-paced environment, with a wide variety of responsibilities. Core office hours are Monday through Friday, 8:00 am – 5:00 pm.
  • Manage specific projects within the Conservatory. These projects will include the following:
    • Managing all aspects of scheduling for the Music-Drama Center and Shattuck Hall of Music. This includes scheduling of student, faculty, and guest recitals; coordinating use of the Memorial Chapel by off-campus groups; and assisting students in scheduling daily rehearsals. This position works closely with faculty Department Chairs and the Registrar to create the class schedule for all conservatory courses, taking the lead role in assigning appropriate building spaces for each offered class.
    • Supervising a large group of student employees, including a team of Conservatory Office Assistants, set-up crews for each of our large ensembles, music theory tutors, and student ushers for faculty, student, and guest recitals.
    • Coordinating all details for student, guest, and faculty recitals and large ensemble concerts, including creating, printing and archiving programs and posters, interfacing with technical and stage management staff, and updating music event listings in the university's master online calendar. The Conservatory hosts more than 200 recitals and concerts each year.
    • Managing the purchase of office supplies for all Conservatory faculty and staff, including making decisions about how best to use the yearly budget to meet all the needs of the department.
    • Serve as primary point of contact for all visitors to the Conservatory, including Conservatory students, faculty, and staff, as well as other members of the university community, and members of the outside community. It's imperative for the person in this position to have excellent customer service skills, and to be comfortable working in a very fast-paced environment.
    • Assisting Conservatory Logistics Coordinator I with supervision of student ensemble librarians, including helping librarians with the preparation of parts for ensembles.
    • Assisting Conservatory Logistics Coordinator I with managing the Conservatory's instrument inventory, ensuring that students who come to the office to pick up instruments are given the correct instrument with all the necessary accessories, and maintaining the instrument inventory database.
    • Lead and/or participate in other Conservatory projects, University task forces, and other projects as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Strong organizational skills and administrative abilities.
  • Excellent communication skills, both oral and written.
  • Commitment to creating a diverse, equitable, and inclusive environment in which everyone feels a strong sense of belonging and community.
  • Proficiency with Microsoft Office and ability to learn other programs as needed, for example, for website maintenance.
  • Ability to work in a positive and cooperative manner with a diverse community of faculty, staff and students.
  • Flexibility to perform duties wherever work volume and priorities necessitate.
  • Ability to seek out opportunities rather than waiting to be asked.

EDUCATION AND WORK EXPERIENCE:

  • Bachelor's Degree preferred but not required.
  • A musical background will help you learn some aspects of the job more quickly, but is not necessary.
  • Must have successful completion of criminal record check, driving record check, and reference checks.
