Your Specific Responsibilities:

This is a responsible fiscal position within the Administration section of the Florida Department of Health Bay County (FDOH Bay). The person assigned to this position will perform these duties under the supervision of the Finance and Accounting Director I - SES. This person is responsible for several information sets which are confidential in nature. Incumbent shall comply with all security policies, protocols and procedures in regards to such confidential information.

Assists with answering all calls coming in the FDOH Bay and transfers appropriately. Answers routine questions from public. Greets visitors to the administration section of the FDOHBC and ensures all visitors are registered on the sign-in log and recorded into Visitor Access Database. Ensures unescorted visitors are given a temporary badge. Assists HR with issuing temporary badges to employees. Ensures all temporary badges are accounted for and returned.

Responsible for outgoing and incoming mail at the FDOH Bay to include: maintaining postage machine, preparing outgoing mail, maintaining postage meter log, maintain excel spreadsheet to spread the cost of the postage to each division per their use, maintains certified and restricted mail log. Stamps and logs all money and checks coming thru the US mail on DOH computerized Form. When completed secure them in locking deposit bag. Prepares vendor payments for mail with backup documentation. Also, documents incoming checks by maintaining daily logs.

Assists with maintaining the vehicle fleet cars to include: maintaining vehicle logs and reserving vehicles for out of town trip requests. Compile information for the Vehicle Log Report and the EMIS vehicle report for transmittal to Bureau of General Services. Responsible for issuing BayCHD Sunpass transponder.

Assists with Livescan Fingerprinting including: Scheduling appointments, blocking appointments, data entry, submit, research, invoicing companies that uses vouchers, and processing FDLE invoice for payment.

Responsible for documenting and reporting monthly copier usage. Assists with scanning documentation and saving data on the server.

Assists other front desk staff in keeping a professional looking and organized, public front reception area.

Responsible for quality assurance of accounting information. Backup support for updating the Invoice Tracking file with vendor invoice and payment information.

Performs other duties as assigned.

Required Knowledge, Skills, and Abilities:

Software experience: MS Office experience with efficiency with MS Outlook, Excel, and Word. Efficiency with mailing machine, copier, and Livescan fingerprint software and equipment. Efficiency with State systems: MFMP, TRAIN, and People First. Communication skills: Professional and considerate attitude interacting with vendors and coworkers, communicates clearly and effectively; keeps other informed of necessary information; and deals effectively with conflict.
