Staff Accountant/Office Manager

JOB OVERVIEW
Performs day-to-day administrative tasks required in order to ensure Corporate office operations runs smoothly through maintaining databases, collecting expense data, training new managers. Responsible for accounts receivables, accounts payables, banking transactions, inventory, invoice processing, office supplies, business to business contracts and proving technical support.
DUTIES AND RESPONSIBILITIES
· Accounts Payable.
· Maintain sales and royalty reports.
- Maintain annual comparison of Corporate Cafés and franchise locations.
- Post weekly ACH’s for royalties, Black Gold Holdings, and Roasting through QuickBooks and in-person banking activities.
- Process accounts payables and receivables.
- Maintain and produce monthly ideal food costs for all Corporate Cafés and some franchise locations to include updating and maintaining pricing to ensure accuracy.
- Maintain monthly inventory data.
- Conduct regular inventory of office supplies place orders as needed.
- Maintain Acctivate and Cheftec.
- Initiate bank account transfers on a bi-weekly basis.
- Calculate, post, and process sales tax.
- Calculate marketing and management fees.
- Balance liability for true up gift cards.
- Post end of month inventory.
- Clear intercompany accounts.
- Process phone orders, as needed.
- Pay US Food payables online
- Resolve minor Information Technology and Office Equipment issues.
- Assist with the training of new managers.
- Move orders from Acctivate to Roasting and send out invoices.
- Post Catering activity.
- Open and distribute all incoming mail.
- Serve as back-up to Controller and Human Resource Manager as needed.
- Other duties, responsibilities, and special projects as assigned by management.
QUALIFICATIONS
· Bachelor’s Degree in Business Administration, Accounting, or Finance, required.
· 5+ years of experience in business office operations and management, required.
· Excellent supervisory and leadership skills.
· Excellent analytical and organizational skills.
· Proficient in database and accounting computer application systems.
· Proficient in Microsoft Office (Outlook, Word, Excel, etc.).
· Excellent written and verbal communication skills.
PHYSICAL DEMANDS
· Must be able to sit or stand at a desk working on a computer for prolonged periods or entire work shift.
· Must be able to lift up to 50 pounds.
· Must be able to visit various locations and conduct off-site business, as needed.
