We are seeking a creative, detail-oriented, and highly organized individual to join our team as Program and Event Coordinator. Reporting to the Executive Director, The Program and Event Coordinator will support the efficient functioning and growth of our organization by overseeing and coordinating an expanding list of community and foundation events and initiatives. This position is an exciting opportunity for a creative, energetic individual who is eager to plan and deliver exceptional meaningful experiences in a growing foundation.

We welcome applications from candidates with varying experience levels so long as the candidate has a minimum of 7 yrs. full-time experience. Depending on experience level, individuals may be considered for a Manager level role.


Position Title: Program and Event Coordinator 

Location: Atlanta, GA 

Hours: 40 hours/week

FSLA: Non-exempt


Duties & Responsibilities include but are not limited to:


Event Planning and Execution:

  • Plan and execute events considering preferences and expectations of stakeholders and attendees.
  • Oversee and manage all aspects of program logistics, such as scheduling, venue selection, vendor management, and coordinating setup and teardown.
  • Coordinate with team members and stakeholders to ensure all are informed and aligned.
  • Draft comprehensive event timelines and runs of show for program execution.
  • Manage on-site event logistics, including coordinating staff, vendors, and resources.
  • Proactively address management, attendee, and guest needs, ensuring programs run smoothly and efficiently while troubleshooting any issues.


Invitation Management:

  • Manage the creation, sending, and receiving of event invitations.
  • Work with design teams (internal or external) to create attractive and informative invitations.
  • Track invitation responses (RSVPs) and maintain an up-to-date attendee list.
  • Follow up with invitees as needed to confirm attendance and provide event details.


Vendor Oversight:

  • Identify, negotiate with, and manage relationships with vendors to secure resources and services for each program.
  • Oversee vendor performance to ensure timely and high-quality delivery of services.


Travel Coordination:

  • Plan and coordinate travel arrangements for guest speakers, including ?ights, accommodations, and transportation.
  • Communicate travel details and itineraries to guest speakers and provide support for any travel-related needs or issues.
  • Ensure guest speakers are provided with clear instructions and necessary information regarding the event.


Customer Service and Communication:

  • Provide exceptional customer service throughout all phases of the program, from registration to follow-up.
  • Communicate program details and updates to all stakeholders clearly and effectively.
  • Ensure attendees have a positive experience from start to finish.


Budget Oversight:

  • Monitor and manage program budgets and expenses to ensure cost-effective solutions.
  • Seek opportunities to optimize resources without compromising quality.


Feedback and Evaluation:

  • Collect and review feedback from clients and attendees to assess program success. 
  • Analyze feedback to identify areas for improvement and implement necessary changes.


Qualifications:

  • Bachelor’s degree from an accredited institution or equivalent experience in event/program management, hospitality, or related field.
  • 7+ years of full-time experience in program coordination, event planning, or a similar role.
  • Experience in creating and executing programs (professional or volunteer).
  • Flexibility to work evenings and weekends as required for events.


Professional qualities and technical skills:

  • An energetic self-starter able to work independently as well as within a team.
  • Exceptional organizational and time management skills.
  • Ability to work under pressure and handle multiple projects simultaneously.
  • Interpersonal skills with strong emotional intelligence. 
  • Strong written and verbal communication skills.
  • Professional or volunteer experience in the Jewish community is a plus. 


Salary Range:

Compensation is commensurate with experience.


Benefits:

The Foundation offers full-time employees a complete benefits package that includes medical, dental, and vision insurance; paid time off; a 401K plan with an employer contribution; and charitable contributions on behalf of employees. Select benefits such as insurance, 401K employer contribution and others are not available to part-time employees.


Full time employees (32+ hours) receive up to half off tuition to any participating, eligible Jewish day school in Atlanta.
