Position Summary:

 

We are a small yet dedicated team of diverse professionals seeking a Member Services Specialist. This full-time, non-exempt role offers flexibility with remote, in-person, or hybrid work options. As a great starter position, this role is critical to enhancing the value of membership at the Society for the Advancement of Material and Process Engineering (SAMPE). The ideal candidate will represent our staff in committee meetings and events and oversee membership retention, renewal, customer service, and database management.


Primary Responsibilities:


Database:

  • Maintain the Society's AMS database. Create and maintain member and subscriber records; update contact information and other demographics; generate invoices/receipts; and process memberships.
  • Manage and run database membership renewals and reports. Continually analyze, review, and confirm the accuracy of these records and reports.
  • Review and understand membership statistics. Make recommendations to leadership on ways to adjust for data trends.
  • Understand and incorporate member demographics to align with overall organization and strategic goals.
  • Regularly provide monthly, quarterly, and annual reports and dashboards on membership data to volunteer and staff leadership.
  • Works closely with AMS service provider to ensure database integrity and process improvements.
  • Collaborates with marketing on mailing lists for targeted audiences.
  • Answers data-related questions and issues from volunteers and staff leadership.
  • Maintains the Society's lists of current contacts and ensures the database is updated after each email communication to incorporate data from hard bounces and unsubscribe requests.

 

Membership:

  • Customer Service: Serve as a point of contact for SAMPE's volunteer chapter leadership and members; provide exceptional customer service. Respond to telephone and email requests for information and assistance from members and staff. Work with staff and volunteers to grow student and professional chapters and activities. Work with marketing to develop and deliver member communications regularly. Spearhead membership renewals and outreach.
  • Chapter Relations: Help leadership codify membership best practices and documentation processes, support how SAMPE chapters operate through practical processes, and help chapters thrive. Support volunteer leadership with quarterly meetings where best practices are discussed.
  • Committee Management: Help volunteer committees achieve their objectives by being the staff point-person. This role will support volunteer leaders in gathering agendas, setting meetings and conference calls, and supporting volunteers to ensure the work is done on time.
  • Conference Support: The ideal candidate will want an active role at SAMPE conferences; help support various student and professional competitions, attend committee meetings, and ensure our guests have a great conference experience.
  • Perform other duties as assigned by the supervisor.
  • Travel to SAMPE events as assigned.

 

Skills Required:

  • Bachelor's degree required.
  • Experience in a member-based organization is highly desirable.
  • Advanced database administration experience.
  • Must be a self-starter and able to act independently.
  • Excellent customer service skills are required.
  • Proficient in Microsoft 365, but highly versed in Excel; pivot tables, etc., and AMS/CRM platforms. Power BI is a plus.
  • Excellent written and oral communication skills.
  • Positive, can-do attitude.
  • Must be highly organized and detail-oriented.
  • Flexible and collaborative with a keen ability to prioritize and manage multiple tasks simultaneously. This small but very passionate team is highly motivated to serve our members.
  • Be diplomatic and interact well with committee members, staff, leadership, and SAMPE customers.
  • Must be a U.S. Citizen. This position requires ITAR Clearance.

  

Travel Requirements:

 The position requires 10-15% travel, including trips to conferences, SAMPE chapter events, and other related meetings.
