ONTHEMARC is a leading full-service catering company known for its commitment to culinary excellence and exceptional service. With a dynamic team of 35 full-time employees and a substantial roster of part-time staff, we are dedicated to providing outstanding catering solutions for a wide range of events. We are seeking an enthusiastic and organized Event Planner & Banquet Captain to join our team.


Responsibilities:


Captaining Events (25%)

  • Attend and Captain 1-2 events weekly, including events produced by team members, to learn and interact with staff. Note: you will work most Saturdays - approximately 40 Saturdays, per year.
  • Oversee event setup and breakdown, including equipment and rental deliveries.
  • Manage staff at events including servers, food runners, station attendants, bartenders, and porters
  • Manage event timelines to ensure all elements come together as planned.
  • Troubleshoot any on-site issues and ensure smooth event execution.


Event Planning (30%)

  • Collaborate with clients to understand their vision and objectives for the event.
  • Create detailed event plans, timelines, and schedules.
  • Coordinate menu selections, and other creative elements, like decor, where applicable.
  • Ensure all aspects of the event align with client goals and ONTHEMARC standards.
  • Update menu selections & BEOs, invoices and contracts via Tripleseat.
  • Create floor plans and Run of Show for events, as necessary.
  • Complete packing lists to ensure accurate pack out for events.
  • Communicate all event information to the Culinary team & Event Captain, if not you, responsible for the day of execution.


Vendor and Client Management (25%)

  • Liaise with any necessary outside vendors that align with the ONTHEMARC brand to ensure consistent, high-quality service to our clients.
  • Coordinate all rentals for events.
  • Negotiate contracts and manage relationships with vendors to ensure seamless service delivery.
  • Serve as the main point of contact for clients, providing updates and managing expectations.
  • Schedule and conduct tastings for clients.
  • Handle all communications, ensuring a smooth flow of information between ONTHEMARC, vendors, and clients.
  • Schedule client walk-throughs to accurately account for all event logistics.


Administrative (15%)

  • Record-keeping and office support as needed; other projects and tasks as reasonably assigned.


Post-Event Evaluation and Reporting (5%)

  • Conduct post-event reviews with clients and internal teams to assess success and gather feedback.
  • Prepare and present post-event reports, including financial outcomes, client satisfaction, and lessons learned.
  • Use insights to improve future event planning processes.
  • Request clients’ reviews on various websites.


Qualifications:

  • Food & Beverage: 5-10 years (Required)
  • Event Planning: 3-5 years (Required)
  • Experience with Tripleseat, preferred.
  • Organized and detail-oriented.
  • Strong organizational and multitasking abilities.
  • Excellent interpersonal and communication skills.
  • Proficiency with Google Suite.
  • High level of discretion, decorum, and confidentiality.


Expected hours: 40 - 50 per week
