  • Oversee weekly A/P checks, and process bank deposits as they come.
  • Payment reconciliations, and Month End journal entries.
  • Categorize debits/credits for checking account and two credit cards.
  • Weekly payroll JE’s from ADP to QuickBooks Online.
  • Manual payroll ACH transactions, and reconcile bank and credit card statements.
  • Month End A/R accrual and Payroll accrual.
  • Keep up to date on aging A/R, and compare A/R aging summary to invoice calculator lines.
  • Create and maintain Excel spreadsheets.
  • Double check hours worked, update Pivot Tables, and calculate commissions.
  • Prepare weekly supervisor audit reports.
  • Prepare invoices for QuickBooks Online import.
  • Pull hours worked from VMS sites and input into Excel for import.
  • Complete new hire entries within ADP Workforce Now.
  • Pull monthly reports and create Pivot Table for expected deductions.
  • Reconcile deductions on 1st two pay-weeks for medical and dental coverage.
  • Add deductions in arrears for payroll, and add deductions for new hires in ADP.
  • Reach out to billing contacts for payment updates on aged invoices.
  • Prepare Workers Comp reports and import monthly.
  • Confirm all updates in ADP, and handle tax notices, child support etc.
  • Calculate stipends on traveler sheets and update numbers for PTO.
  • Update YTD invoicing by client spreadsheet.
  • Assist in various state reporting, and handle payroll discrepancies.
  • Update ADP on any new states, including Tax ID set-up.
  • Assist in annual audits, mail W2s and 1095Cs at year end.
  • Review riders according to guidelines, and update supplier handbook spreadsheet.
  • Send confirmation emails for bonuses in CRM/ATS (LaborEdge).
  • Check for bonuses and add to weekly payroll.
  • Track processing of workbook corrections on Excel spreadsheet.
  • Make invoice adjustments in QuickBooks Online for hours differences/billing differences.
  • Deduct hours that have been rejected.
