The Firm
We are a Los Angeles-based firm who has been negotiating and trying cases to jury verdict on behalf of plaintiffs for over three decades. We focus on personal injury, employment law, product liability, class actions and other consumer-oriented matters.
The Opportunity
The Director of Intake and Office Operations plays a pivotal role in the strategic marketing and operations of our firm. This multifaceted position involves a wide array of responsibilities, encompassing marketing, lead generation analysis, intake management and more. As the point person for various functions, this position ensures the seamless functioning of our firm's marketing and client intake processes.
With a finger on the pulse of the firm's operations, this position ensures that the client experience is exemplary and that our marketing strategies continue to evolve and succeed in a competitive legal landscape.
Key Responsibilities
Lead Generation Analysis
· Analyze lead generation initiatives for effectiveness
· Produce weekly, monthly and as-needed reports on intake performance.
· Prepare and deliver presentations to the full marketing team based on analysis findings
· Perform SEO reporting to enhance our online presence
Client Intake and Service
· Supervise daily intake coordinators, ensuring effective client interaction and lead triage
· Conduct call audits to maintain the quality of client interactions
· Manage intake databases for efficient client information handling
· Oversee reception and call center operations
· Supervise attorney intake and serve as a liaison to referring attorneys
· Act as the liaison for the Mass Tort department
Staffing and Training
· Lead interviews and onboarding for new staff members
· Provide training to ensure a high level of client service
· Maintain employee contact lists
· Track hours for Mass Tort clerks
Google Review Management
· Monitor and manage the firm's online reputation by responding to Google reviews and maintaining a positive presence.
Newsletter Contact List Production
· Create and maintain contact lists for newsletter distribution
Intake Analytics and Reporting
· Gather and analyze data related to client intake, helping the firm make informed decisions
Requirements/Qualifications
· Bachelor’s degree or equivalent
· Experience in a law firm
· Previous success in office management
· Experience in client-facing positions
· Ability to work independently and make decisions supported with reasoned judgment
· Excellent oral and written communication skills
· Ability to handle confidential information
· Tenacious follow-up
