Overview: The Project Coordinator role is to manage on-site Turnaround timekeeping responsibilities as well as coordinate labor team shift allocation, travel and hotel accommodations. Recording of all receipt submittal using TRACKs and other customer systems.


Key Responsibilities:

•Primary responsibility includes coordination of specified rentals, repairs, products, and services within the assigned region from the quote stage, through the order management process, to completion of invoicing. In addition, aid during the cash collection process using Vista / Viewpoint software.

•Collaborate with the Territory Manager to create quotes both in an ERP system, Excel, CRM/SharePoint system, and Microsoft Office Word.

•Act as liaison between the Customer, Territory Manager, Operations, Manufacturing, Engineering and Purchasing, to construct quotations and ensure on-time deliveries of service, rentals, repairs, and/or products.

•Communicate via e-mail, phone or in person with the customer and Territory Manager to produce quotations, collect new purchase orders plusmanage the life of the order through invoicing. In specific cases, the rolemay require accessing/updating customer billing systems to collectpayment.

•Follow-up assistance may be required after the invoice stage to ensure proper cash collection in collaboration with A/R.

•Perform all duties in accordance with ISO-9001 procedures.


Key Candidate Attributes:

•TRACKS System and Timekeeping systems experience used in Turnaround projects for Refineries and other customers

•Vista / Viewpoint Experience a strong plus

•Some local travel for projects possible

•Strong Organizational Skills and Multi-Tasking – the order management process involves a variety of documentations that requires attention to detail and organization to perform successfully.

•2+ years of experience in Account Billing and Quotation preferred.

•Associate Degree in business, communications, or a minimum 3 years ’experience.

•Experience in Gas, Oil, Power, or Steel industry is preferred.

•Demonstrated ability to navigate ERP systems, and Microsoft Office (Excel, Word, Outlook, PowerPoint, Adobe).

•Excellent communication skills (written and verbal) – a constant interaction with the operations team, customers and sales team.

•Customer service presence – the ability to interface with the customer and promote a positive company image.

•Demonstrated ability to take the initiative to improve processes.

•Strong problem-solving skills.
