The Receptionist serves a critical role as the face of TA Associates, greeting all guests and employees. This individual must be comfortable being in the office Monday-Friday each week; the hours are 9:00am - 6:00pm daily.


Specific Responsibilities:

  • Answer and screen incoming calls for the office in an efficient, friendly, and professional manner.
  • Welcome guests and ensure they are promptly announced to the appropriate person, and escorted to the designated meeting room.
  • Coordinate and ensure neat appearance of reception area and conference rooms.
  • Provide administrative support to ~3 members of the Investment Team on a daily basis.
  • Make travel arrangements (domestic & international), including flight reservations both private and commercial, hotel accommodations, car service, etc.
  • Order cabs/cars when necessary for guests and employees.
  • Maintain staff directory.
  • Maintain and organize files; complete copying, mailing, and shipping requests.
  • Schedule meetings/calls using Outlook.
  • Process expense reports for reimbursement; collect and organize receipts and monitor all travel costs and expenses.
  • Assist with operations requests and other tasks as needed.


Job Qualifications:

  • Exceptional verbal and written communication skills with the ability to exercise tact, good judgment and diplomacy in dealing with management, guests and vendors.
  • Prior experience in a corporate setting desired. Financial services industry experience is a plus.
  • Strong computer skills (MS Word, Excel, PowerPoint, Outlook).
  • College degree is a plus.
  • Phone System experience on Cisco IP Phone Series helpful, but not required.
  • Prior experience with expense reporting in Concur helpful, but not required.
  • As the first face/voice a person encounters at TA, the Receptionist must maintain a professional attitude, appearance and demeanor at all times.
  • Ability to prioritize workflow in a challenging and evolving environment.
  • Self-motivated work ethic, with a high level of organization and attention to detail and accuracy.
