The Event Planner & Coordinator will lead and facilitate in-person and virtual events for ILT Academy.
As a prominent EdTech startup in the midwest, ILT Academy delivers an innovative curriculum, in a virtual instructor-led format, to underestimated entrepreneurs in underserved communities throughout Minnesota and North Dakota.
ILT Academy conducts multiple in-person educational workshops, community mixers, and pitch competitions throughout the year. ILT Academy also hosts 3-4 virtual events every month to showcase participants in it's educational startup curriculum. In addition, ILT Academy is regularly asked to speak and participant in other events related to the startup ecosystem. It's been a blessing that the demand for these events is growing so quickly, but we're finding the growth faster than we can keep pace, so we're adding this Event Planner & Coordinator role to manage the process.
This role will be a contract-for-hire position, with a flexible schedule, and an expected weekly commitment of 40 hours. The Event Planner & Coordinator can either be work-from-home, or located in our St. Cloud office, and will require travel (by automobile) to the greater Minnesota and North Dakota area (approximately twice a month).
Your Role
The Event Planner & Coordinator will be responsible for leading and managing all events related to ILT Academy’s program and community involvement.
Initially you will work closely with ILT's CEO and COO to define a calendar of events and coordinate schedules to ensure proper operational capacity. You will also work to define and improve standard operating procedures and written processes for event and speaking requests.
You will help to assess and implement an event tech-stack capable of managing event scheduling, invitations, promotion, and attendance tracking. You will be fanatical about data, automation, and systems integration.
This role will also have the key responsibilities for coordinating event space, ensuring audio/visual, food and beverage, and any class related materials. You will be expected to run the front desk at key events to ensure proper tracking of attendees, as well as support the instructional lead(s) with any administrative items during the event. You can also be expected to help facilitate travel arrangements (transportation and accommodations) as appropriate.
As the Event Planner & Coordinator you can anticipate your role will be communication heavy, and will create promotional materials and write copy for event invitations as needed. You can also anticipate working closely with Hubspot to curate data attributes and invitation lists.
ILT Academy is an early-stage business and so you will frequently be taking on new and varied responsibilities as needs change and evolve. In this role, you will be expected to pitch-in when others need help, exhibit a high level of professionalism, demonstrate ILT’s core values and corporate standards, and use ILT’s internal systems to track your work with meticulous accuracy.

- Proven event operational experience, preferably at a venture-backed startup
- Notable technical acumen, with demonstrated software expertise in Zapier, Hubspot, Mural/Miro, Google Sheets/Documents
- Experience using EOS / Traction (big plus)
