Vaco is seeking a highly skilled Senior Payroll Tax Specialist to join our team. This role is critical in ensuring compliance across all business functions related to payroll processing. The ideal candidate will have extensive knowledge of payroll tax regulations and be proficient in managing compliance with local, state, and federal requirements. Requirements: Three years of payroll experience in a fast paced, high volume, multi-entity & state organization required. Knowledge of PeopleSoft or similar payroll information systems is required. Possess a solid understanding of Payroll compliance.

Key Responsibilities

  • Compliance Management: Determine and control proper resident/work state for Team Members, reconcile, validate, and analyze payroll system information, and document all local, state, and federal reports/records.
  • Tax Reporting: Prepare and file all required tax reports on a monthly, quarterly, and annual basis. Present clear, organized, compliant, and concise tax reports/information to senior management.
  • Legislative Monitoring: Monitor legislative changes and incorporate them into the HRIS and payroll system.
  • Tax Calculations: Calculate employee and employer tax amounts, and file weekly, monthly, and quarterly tax returns, along with annual reporting.
  • Reconciliation: Reconcile payroll tax deductions with the general ledger and ensure accuracy in processing tax employee and employer withholding/reporting.
  • Documentation and Training: Prepare and distribute tax certificates for employees, generate reports for audits, assist team members with tax or payroll matters, and train team members on tax-related procedures and policies.
  • Process Improvement: Identify process improvement initiatives, define standards for new processes, and manage test scripts provided by HRIS.
  • Customer Service: Maintain a good working relationship with legal counsel, demonstrate dedication to customer service, and manage customer relationships and escalations.
  • Backup Support: Cover for Payroll Specialists during vacations and high-volume work periods.

Essential Functions

  • Register employment tax with applicable states, varying by non-Florida state requirements.
  • Coordinate with the legal team for all state/federal registrations in a timely and compliant manner.
  • Maintain expert knowledge in PeopleSoft and Kronos Timekeeping systems.
  • Assist in bi-weekly/monthly tax/payroll processes, including quarter-end and year-end processing and W2 distribution.
  • Escalate potential service issues to the Director of Payroll.
  • Ensure regular, punctual attendance consistent with company policies and relevant federal, state, and local standards.

Qualifications

  • Education/Training: Bachelor's degree in accounting/finance or equivalent years of related work experience.
  • Experience: At least three years of experience working in payroll. Comprehensive understanding of state-specific requirements, including state & local income tax withholding, unemployment, and FMLA.

Additional Requirements

  • Knowledge of employment tax reporting.
  • Ability to interact with Human Resources and Information Services to resolve payroll tax-related issues.
  • Commitment to maintaining compliance with all company policies and procedures.
