Our client is seeking to add a Legal Contract and Risk Administrative Assistant to support their Corporate Legal and Contracts Team on a temporary basis.


JOB SUMMARY: Responsible for a wide range of contract administration duties with focus on client contract negotiation and execution, subcontractor and supplier contracts as well as providing support to HR and Facilities for Recruiting and Leasing agreements. Identify best practices associated with the contracting process to continually look to increase efficiency.

Contract Management:

  • Prepares and administers contracts, bids, and proposals per the requisite specifications and in compliance with all policies and regulations.
  • Support Sales and Account Management with the negotiation of mutually agreeable terms and conditions and ensure that both comply with the terms of the Delegation of Authority
  • Using a template or other means, “tag” key segments and clauses of each contract prior to final storage and ensure naming convention is in place
  • Following the tagging of all contracts, develop a monthly report to show all contracts set to expire within the next 120, 90, 60 and 30 days to identify risk to revenue and ensure Sales is working with client to renew
  • Actively participates in contract negotiations with customers and suppliers.
  • Serves as a liaison between the Company and contractors/suppliers ensuring contractual requirements are maintained.
  • Manages the contract repository and tags necessary data within the contracts. Ensures collection of fully executed documents and loads them to the repository.
  • Document all legal items handled in Salesforce


Risk Mitigation and Client Responses:

  • Open and track all client questionnaires, profiles and related non-legal documents to completion using Sales Force in line with designated metrics
  • Review all contractual documents associated with bids and RFPs
  • Store all in-progress and completed documentation on Risk SharePoint site
  • Develop and maintain ongoing master questionnaire document by comparing responses on new documents to existing master. Circulate master document for review twice a year to secure updated responses due to changing compliance requirements and track effort in Sales Force
  • Track all open items, even those assigned to vendor via Sales Force case and report monthly on in progress and completed work.
  • Document all risk-related items handled in Salesforce
  • Serve as an “as-needed” backup for other members of Legal/Risk Department
  • Other duties may be added as the role develops and evolves.


Education and Experience

  • Minimum 7 -10 years' experience within contract administration and / or compliance.
  • Bachelor’s Degree (advanced degree preferred)
  • Experience in a fast-paced environment, with competing priorities.
  • Experience working with complex contracts and bids
  • Experience working within contract negotiation in a publicly traded company (preferred)

  • Critical thinking skills and the ability to research and understand legal and financial implications
  • Superior reading and writing skills
  • Proactively manage legal risk and find solutions to problems
  • Ability to work independently and remain highly organized
