MAIN FUNCTION:

The Director of Medical Staff Services functions under the direction of the Chief Medical Officer and is responsible for all aspects of medical staff credentialing in compliance with The Joint Commission and CMS standards. The director is also responsible for corporate and hospital compliance with NCQA standards for operating a Certified Verification Office for Arnot Ogden Medical Center. The director must be knowledgeable about NYS DOH 405 regulations regarding medical staff. The director will help maintain and improve medical provider credentialing at Arnot Ogden Medical Center to meet the needs of the facility and to help verify credentials for providers and participate in confirming training and licensing of all providers seeking to work at Arnot as well as confirm continued board certification, licensing, and verification of ongoing training and credentials necessary for the fulfillment of medical staff requirements and continued participation with participating insurers at Arnot Ogden Medical Center.


DUTIES AND RESPONSIBILITIES:

  • Coordinates credentialing function to ensure orderly and timely collection of information on candidates for appointments/reappointments.
  • Coordinates meetings of the Medical Staff and arranges location & participation. Provides adequate notice to participants.
  • Serves as HPN Coordinator for the Health Commerce System to add practitioners into the EDRS system for access to the electronic death certificate.
  • Acts as resource for Medical Staff in matters of Arnot Health Administration.
  • Develops and coordinates educational programs for Medical Staff. Coordinates record-keeping for completion of hospital and NYS mandated training. Coordinates and tracks medical staff mandated training for organizationally mandated educational updates and required electronic medical records.
  • Maintains a record-keeping system for departmental and committee meetings and correspondence.
  • Keeps track of physician contact information and updates the Communication director when a provider leaves or enters the Arnot system.
  • Maintains tracking system on Medical Staff for attendance at required QI meetings.
  • Maintains Medical Staff finances to include paying bills, writing checks and preparing financial reports.
  • Maintains all Medical Staff material as a form readily retrievable as needed for regulatory bodies such as The Joint Commission, CMS, the New York State Department of Health, NCQA and IPRO.
  • Follows-up on committee recommendations with notice and information to proper persons and Departments including the Board of Directors.
  • Supervises and routinely evaluates Medical Staff Services staff.
  • Prepares agenda and distributes appropriate material for the Medical/Board Credentials Committee, the Medical Executive Committee, the Medical Department, the Surgical Department, the Medical Staff By-Laws Committee and the Semi Annual Medical Staff Meeting. Takes and transcribes minutes and assures that appropriate follow-up is conducted.
  • Updates and facilitates distribution of current physician privileges to appropriate departments including the updating of an electronic database for active privileges if such a system exists.
  • Also coordinates with the Director of Quality and Performance Management for review of provider performance for both new hires and re-credentialing of providers by the credentials committee, MEC, and Board of Directors
  • Reviews and/or updates Departments’ Bylaws and privilege delineation sheets.
  • Maintains assignment of computer numbers for the Medical/AHP Staff and entering same into Quadramed.
  • Prepares operating and capital budgets for Medical Staff Services.
  • Reviews and updates Medical Staff Bylaws, Policies and Procedures, as appropriate, to comply with State and Federal Regulations.
  • Assists Medical Staff Officers and Departmental Committee Chairs in carrying out their duties and acts as a liaison between Administration and Medical Staff.
  • Prepares committee structure with the President of the Medical Staff for all Medical Staff Committees. Notifies members of their membership.
  • Ensures that requests from other hospitals, insurance companies and regulatory bodies are responded to in a timely manner.
  • Coordinates processing of appointments/reappointments through the appropriate Departments and Committees, i.e. Department Chair, Quality Department Professional Practice Evaluations, Medical/Board Credentials Committee, Medical Executive Committee and the Board of Directors.
  • Assures yearly updates for physicians and/or AHP's of history and physicals, PPD’s, licenses, DEA's, malpractice insurance, Board Certification & Mandatory Inservices.
  • Prepares necessary paperwork and compliance for granting of temporary privileges.
  • Coordinates renewal of Excess Malpractice Insurance for all physicians with Arnot Health and their primary affiliation.
  • Conducts hospital orientation with new members of the Medical/AHP Staff.
  • Works with hospital legal counsel on matters pertaining to the Medical/AHP Staff.
  • Provides yearly update to IPRO for regulatory compliance with Physician Acknowledgements prior to billing.
  • Is responsible for attending all annual mandatory educational programs as required by position.

  • Coordinates entering of on-call schedules into QLIQ.

EDUCATION:

Bachelor’s degree required. 6 years’ relevant experience or equivalent combination of education and experience required.


EXPERIENCE:

  • Knowledge of MDStaff Credentialing Database preferred.
  • Knowledgeable in Word & Excel.
  • Strong organizational skills with attention to detail.
  • Must be flexible with a strong ability to multi-task.
  • Certification as a Certified Professional in Medical Services Management or Certified Provider Credentialing Specialist or Certified Professional in Healthcare Quality or the willingness to achieve one of these certifications is required within 2 years.
