Job Description:

Position Summary:

The Facilities Coordinator will be responsible in tandem with Commercial Facilities Manager, for ensuring the smooth operation and maintenance of our facilities. This role involves coordinating various services, managing maintenance schedules, and ensuring a safe and efficient working environment for all tenants. The ideal candidate will have excellent organizational skills, a proactive attitude, and the ability to manage multiple tasks simultaneously.


Key Responsibilities:

  • Maintenance & Service Contracts: Oversee all plowing and lawn care needs as well as regular HVAC maintenance.
  • Repairs: Coordinate with third-party contractors to resolve maintenance issues such as roof leaks, potholes, plumbing leaks, electrical issues, etc., in a timely manner.
  • Minor Projects and Improvements: Oversee minor projects and improvements as needed.
  • Work Verification and Payments: Verify and approve all completed work and coordinate payment for services rendered with the accounting team.
  • Site Inspections: Perform site inspections to ensure all building systems are in good condition.
  • New Acquisitions: Work closely with the Sales Team on all new acquisitions, including obtaining keys, switching applicable utilities, and ensuring all documents are filed correctly (leases). Record building systems (meter numbers, etc.).
  • Additional Tasks: Perform all other tasks assigned as needed.
  • Work Schedule: Full-time commitment of 40 hours per week on location from 8:00 AM to 4:30 PM.

 

Qualifications:

  • Associate’s or Bachelor’s degree preferred.
  • Background in real estate preferred.
  • Strong organizational and multitasking skills, with a keen eye for detail.
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams.
  • Proficiency in Microsoft Office Suite and email communications.
  • Ability to respond to emergencies outside of regular working hours when necessary.
  • Valid driver’s license and reliable transportation.
