The Attorney Practice Coordinator (Litigation/Employment) plays a crucial role in supporting multiple attorneys' practices by coordinating and executing high-level tasks. This role demands exceptional time management, communication, and organizational skills, as well as extensive knowledge of state and federal judicial systems and agency procedures in labor and employment law. This role can sit in Chicago, Detroit, Miami, NYC, or SF.


RESPONSIBILITIES:

  • Coordinate attorney support from the Attorney Resource Team and other corporate departments, including calendar and billing teams.
  • Ensure accurate and complete submissions to the Attorney Resource Team, providing thorough instructions and documentation.
  • Communicate with the case team to prevent duplicate requests to the Attorney Resource Team.
  • Verify court and other deadlines and promptly alert attorneys.
  • Create and update litigation matters in Virtual Binder.
  • Produce Tables of Contents (TOCs) and Tables of Authorities (TOAs) accurately and promptly.
  • Coordinate and finalize documents for filing with courts or administrative agencies, as well as service upon other parties.
  • E-file documents with courts and agencies in accordance with applicable rules.
  • File timely and accurately in NetDocuments.
  • Create and submit New Client Matters (NCM) within firm standards.
  • Coordinate transcription of audio recordings.
  • Coordinate printing and assembly of documents with office services personnel.
  • Maintain attorney contact lists through Outlook and the Client Relationship Management system (e.g., InterAction).
  • Submit a daily task log promptly, identifying projects and assignments.
  • Review and revise client pre-bills as needed.


QUALIFICATIONS:

  • 7+ years' experience as a Litigation Secretary.
  • Advanced knowledge and expertise in using Best Authority to produce Tables of Contents (TOC) and Tables of Authorities (TOA).
  • Extensive knowledge of court rules and Electronic Case Filing (ECF) procedures.
  • Proficiency in using MS Office, Outlook, and Adobe.
  • Experience with document management systems such as NetDocuments.
  • Highly organized with the ability to support multiple attorneys' practices and manage multiple calendars, tasks, and requests effectively.
  • Strong time management skills with the ability to prioritize and anticipate practice needs.
  • Proactive in identifying, monitoring, and executing tasks related to case timelines.
