Davis Hill Development (DHD) is actively seeking a dynamic and organized Administrative Assistant to join our development team in Nashville. This position provides a unique opportunity to contribute to the growth of a rapidly expanding company in the renewable energy sector.


The ideal candidate for this role will be a dynamic and adaptable individual, able to wear various hats and ready to navigate diverse responsibilities within a fast-paced environment. We are seeking a motivated and detail-oriented professional who thrives on versatility, supporting multiple individuals and departments. A passion for renewable energy and a natural talent for creative problem-solving will be key attributes that drive success in this multifaceted position.


Responsibilities

  • Manage incoming and outgoing mail operations at the Nashville headquarters.
  • Prepare and print documents, mailing labels, and mail package drop-off.
  • Maintain organization of office files and documents.
  • Lead office management duties including the procurement of office supplies, and manage 3rd party office vendors including but not limited to building and landscape maintenance and cleaning providers.
  • Make reservations and coordinate meal plans and team-building events for quarterly meetings.
  • Take charge of DocuSign/Adobe processes, ensuring efficient setup and monitoring for necessary project documentation.
  • Support the development team with the invoicing processes, ensuring accuracy, categorization, and adherence to budgetary guidelines, including coding and processing invoices, and adding them to the invoicing tracker.
  • Support continuous database cleanup efforts including but not limited to Dropbox, Customer Relationship Software (CRM) and bookkeeping software
  • Support the team with office organization and cleaning efforts. 


Qualifications & Skills

  • Bachelor’s in business administration or similar Degree preferred (or commensurate experience)
  • Proficient in administrative tasks, with a keen eye for detail and organizational excellence.
  • Understanding of invoicing, budgeting, and documentation processes.
  • Ability to work independently and collaboratively within a team.
  • Experience with DocuSign/Adobe and database management is a plus.
  • Outstanding communication and interpersonal skills.
