Personal Assistant to the CEO/ Nanny/ Household Manager

Overview:

Friendly Franchisees is a rapidly growing, privately-owned company committed to excellence in the restaurant and real estate industries. We are seeking a dedicated and highly organized Personal Assistant to support our CEO. This is an excellent opportunity for a motivated individual to contribute to the success of a dynamic and fast-paced organization by providing high-level administrative support. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple tasks simultaneously while maintaining the highest level of confidentiality to ensure the efficient operation of the CEO's office.


Key Responsibilities:

Administrative Support:

  • Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Screen and prioritize emails, phone calls, and other communications for the CEO.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Organize and maintain files and records, both electronic and paper based.

Meeting Coordination:

  • Plan and coordinate meetings, conferences, and events, including arranging logistics and preparing meeting materials.
  • Attending meetings and taking minutes, ensuring accurate documentation and follow-up on action items.

Travel Arrangements:

  • Arrange and manage complex travel itineraries, including flights, accommodations, transportation, and itineraries for both domestic and international travel.
  • Prepare travel expense reports and ensure timely reimbursement.

Project Management:

  • Assist the CEO with various projects, conducting research, and compiling information as needed.
  • Coordinate with internal and external stakeholders to ensure project deadlines are met.

Personal Assistance:

  • Handle personal tasks and errands for the CEO as required.
  • Ensure the CEO’s personal and professional preferences are met with utmost discretion.

Nanny/Household Work:

  • Provide care and supervision for the CEO’s children, including educational activities and transportation.
  • Manage household tasks such as light cleaning, meal preparation, and grocery shopping.
  • Coordinate with other household staff to ensure the smooth operation of the household.



Skills and Qualifications:

Education: Bachelor’s degree in Business Administration, Management, or a related field preferred.

Experience: Minimum of 3 years of experience as a Personal Assistant, Executive Assistant, or similar role supporting senior executives.

Skills:

  • Exceptional organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and handle multiple priorities in a fast-paced environment.
  • High level of discretion and confidentiality.
  • Strong problem-solving and decision-making abilities.


Work Setting:

  • Location: La Palma, CA/ Newport Coast Drive as per business requirements. (Onsite)
  • Schedule: Full time- Monday to Friday, with occasional extended hours and weekends as needed.
