Job Description

The Part-Time Administrative Assistant plays a key role in providing exceptional service to our clients and supporting our therapists. This role involves handling client communications, managing schedules, and ensuring efficient office processes. This is a hybrid role requiring you to work 2-3 days per week, with at least 1 day in person at our office.


Responsibilities


  • Answering Phones: Professionally handle incoming calls, answer inquiries, and direct calls appropriately.
  • Client Scheduling: Schedule appointments for clients and manage therapist calendars to avoid conflicts.
  • Calendar Management: Maintain and coordinate the practice’s appointment calendars, ensuring accurate and timely scheduling of sessions, meetings, and follow-ups.
  • Tracking Metrics: Monitor key practice metrics (e.g., client attendance, cancellations, and session counts) and provide regular reports to the practice owner.
  • Client Communication: Send appointment reminders, follow-up emails, and handle any rescheduling or cancellations.
  • Administrative Support: Assist with other administrative duties such as filing, record keeping, and maintaining office supplies.


Qualifications


  • Education: Associate's degree required; Bachelor's degree preferred.
  • Experience: Previous experience in administrative roles, preferably in a healthcare, medical, or mental health setting.

  • Strong verbal and written communication skills
  • Proficiency in scheduling software and office tools (e.g., Google Calendar, Microsoft Office Suite)
