JOB SUMMARY:

This position is designed to provide training and acclimation to a junior-level editor on the editorial role and responsibilities in a healthcare marketing agency environment. The Associate Editor begins with no discrete account assignments; provides support (largely proofreading) to Editors/Senior Editors until Associate Editor is fully attuned to process and expectations. Once satisfactory performance is consistently demonstrated and baseline training is completed, small accounts are eventually taken on.


ESSENTIAL FUNCTIONS:

Proofreading

Maintains version control, ensures project file integrity, and verifies that requested changes have been accurately incorporated across rounds of project routing.

Copy Editing

Helps to ensure correct spelling, grammatical accuracy, adherence to AMA/brand style, and consistency across brand deliverables.

Fact Checking

Helps to verify data and factual information using provided references, annotations, and general science and math competency.


JOB DUTIES/RESPONSIBILITIES:

Proofreading

  • Assists Editorial colleagues with proofreading (and other Editorial tasks) on 1 or more brands, which may necessitate work outside of scheduled hours or on weekends depending on project deadlines.
  • Reviews files word-for-word vs an approved backup, ensuring each project faithfully follows the indicated source material and reflects specified revisions.
  • Provides clear, concise, and thorough comments through markups with a digital routing tool.
  • Performs correction check/line slugs for most intervening rounds.
  • Uses technologic tools to replace the above manual reviews as appropriate.

Copy Editing

  • Performs initial edits/cold reads of print and digital tactics, as well as internal agency materials, at the discretion of supervisor.
  • Reviews for sense, spelling, grammar, brand style, readability, consistency, accuracy, and context within each job and all related jobs, providing clear, concise, and thorough comments.

Fact Checking

  • Helps to verify data and factual information using provided references, annotations, and general science and math competency.
  • Flags permission requirements for copyrighted content.

Brand Stewardship

  • Can function as lead editor on assigned brand(s) when baseline training is completed.
  • Understands/becomes proficient on the specifics of assigned (account).
  • Attends status, hot sheet, and kick-off meetings for assigned brands as needed.
  • Updates style guides for all assigned brands, and uses appropriate resources (including other editors) to make decisions about brand style.

Communication and Collaboration

  • Ensures daily communication with internal team members to update them on all aspects of projects.
  • Alerts team members and supervisor of difficult-to-meet deadlines.
  • Establishes and communicates workload priorities to manager and second-shift or other supporting staff.
  • Works effectively in a team environment to foster collaborative atmosphere and ensures goals are being met while maintaining quality control.

Active Learning

  • Works with immediate supervisor to become fully conversant with agency process and best practices.

Administration

  • Maintains timely and detail-oriented approach to administrative duties.
  • Helps arrange back-up coverage when out of the office.


EDUCATION:

DEGREE/DIPLOMA Bachelor’s

AREA OF STUDY English, communications, journalism, biology, or related field. Advanced degree in related field may be considered in lieu of required experience

None required


AREA OF EXPERTISE

1-2+ years Proofreading/editing experience

0-1+ years Corporate or agency environment


KNOWLEDGE AND SKILLS:

  • Command of the English language, including strong spelling, writing, punctuation, and grammar skills.
  • Computer literacy, including Microsoft Office and Adobe Acrobat.
  • General math competency.
  • Knowledge of editorial guidelines (AMA preferred).
  • Familiarity with medical terminology.
  • Good interpersonal skills: Develops positive, professional relationships within the department and across disciplines.
  • Basic time management skills with demonstrated ability to plan ahead, work efficiently, and prioritize projects effectively to complete all work in an accurate and timely manner.
  • Basic communication skills: Can express ideas clearly and effectively.

Position may require work outside of base scheduled hours or on weekends, as needed or directed, depending on business need or project deadlines.
