Job Description: Executive/Personal Assistant

Position Overview: We are seeking a highly organized and proactive Executive/Personal Assistant to provide comprehensive support to our executive team and assist with personal tasks as needed. The ideal candidate will be detail-oriented, resourceful, and capable of handling a wide range of administrative and executive support tasks. This role requires the ability to maintain confidentiality, prioritize tasks effectively, and communicate professionally with internal and external stakeholders.

Responsibilities:

  1. Provide administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  2. Act as the primary point of contact for internal and external communications on behalf of the executives, screening and prioritizing correspondence.
  3. Prepare and edit documents, presentations, and reports for executive meetings and presentations.
  4. Conduct research on various topics as assigned, compiling information and preparing summaries for executive review.
  5. Manage executive expenses, including tracking receipts, preparing expense reports, and reconciling credit card statements.
  6. Coordinate and oversee special projects and initiatives as assigned by the executives, ensuring timely completion and effective communication of progress.
  7. Assist with personal tasks and errands for executives, including managing personal appointments schedules, and making reservations.
  8. Maintain confidentiality of sensitive information and handle all matters with discretion and professionalism.
  9. Serve as a liaison between executives and other team members, departments, and external partners, facilitating communication and collaboration as needed.
  10. Anticipate the needs of executives and proactively address issues or concerns to ensure smooth operation of their schedules and responsibilities.

Qualifications:

  1. Bachelor’s degree preferred, or equivalent combination of education and experience.
  2. Proven experience as an executive assistant or similar role, supporting senior-level executives.
  3. Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  4. Excellent communication skills, both written and verbal, with a professional and courteous demeanor.
  5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  6. Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  7. Resourcefulness and problem-solving skills, with the ability to find solutions independently.
  8. Flexibility and adaptability to changing priorities and deadlines.
