Company Overview: Metkon USA, a subsidiary of Metkon Instruments Inc., is a leading provider of metallographic equipment and consumables, offering innovative solutions to the materials testing and quality control industries. As part of our commitment to excellence, we are seeking a office administrator and back office sales person to support our expanding operations across the United States.
The core duties and responsibilities of an Administrative Assistant revolve around supporting others. Their job duties will vary widely, not just from job to job, but from day to day.
Key Responsibilities:
- Manage all aspects of order entry, invoicing, and shipping processes to ensure smooth operations.
- Handle pre-accounting tasks, including accounts payable, receivable, and basic bookkeeping.
- Tracking incoming & outgoing shipments.
- Maintain the organization and overall orderliness of the office.
- Use QuickBooks at an advanced level for financial and inventory management.
- Communicate with customers, vendors, and internal teams to manage and track orders and shipments.
- Assist with preparing and processing sales quotes and invoices.
- Coordinate logistics for shipments, ensuring timely deliveries.
- Manage office supplies and equipment, maintaining proper stock levels and functionality.
- Handle basic office tasks, including answering phone calls, managing emails, and filing.
- Support the sales team with back-office tasks, including preparing reports and maintaining sales records.
Required Qualifications:
- Prior experience in office administration, sales support, or a related role.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks efficiently in a fast-paced environment.
- Proficiency in QuickBooks is highly preferred.
- Familiarity with invoicing, order processing, and shipping procedures.
- Excellent communication and customer service skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to work independently and maintain a professional office environment.
- The ideal candidate will be competent in prioritizing and working with little supervision.
- Must reside in or near the Mauldin, SC area.
This position is based in our Mauldin, SC office.
