About The Role

The Property/Facilities Manager role is charged with the daily management and implementation of policies, procedures, programs, and workplace services that provides a properly managed and well-maintained building.  The Manager will lead multiple functions of building operations and maintenance for medical office buildings, a facility, distribution centers, and industrial portfolio.  An emphasis of this role is placed on a positive response to the concerns and needs of the tenants, environmental health and safety, and quality programs, in coordination with the client's goals and objectives.  This position coordinates the activities, financials, vendors, and manpower required for current and future needs of the building operations.


Essential Functions and Responsibilities

Ensure the daily operations including custodial, fire and life-safety, engineering, site services, and general maintenance, are implemented and carried out in a manner consistent with Bauman & Company policies and client directives.

Manage, regularly review, and bid all vendor contracts.

Supervise all maintenance programs relating to the interior and exterior and appearance of the properties and verify that invoices match contract pricing.

Respond positively and promptly to requests from building tenants and clients.  Oversee the implementation of ongoing maintenance programs and assess tenant needs to ensure problems are being solved promptly and correctly for the tenant, client, and the properties in accordance with contract scope.

Develop and maintain positive relationships with clients and attend monthly client meetings.

Be thoroughly familiar with the management contract and leases and each parties responsibilities.

Monitor and ensure that tenants and vendors comply with insurance requirements and coordinate all claims, as required.

Coordinate and oversee repair and maintenance work assignments performed by technicians, vendors and contractors performing building maintenance, landscaping, and janitorial work. Review work orders to ensure that assignments are completed.

Responsible for quarterly facilities inspections and reports, which does require minimal travel.

Acquire, review and manage bid quotes for the procurement of parts, services, and labor for projects.

Manages vendor relationships and trains vendors on work order and billing procedures. Responsible for invoice processing and accuracy of cost center coding.

Provides process and procedure training. Conducts financial/business analysis including preparation of reports.

  • Other duties may be assigned.


Qualifications

  • 1 - 3 years of property or facilities management experience
  • Experience in leasing, construction, and mechanical systems preferred
  • Experience in the development and implementation of programs to decrease costs preferred
  • Detail-oriented and strong communication skills
  • Intermediate skills with Microsoft Office, Outlook and tenant management software
