Intake Specialist/Coordinator

Summary:
The Intake Specialist serves as the initial point of contact for potential clients seeking legal representation for personal injury cases. This role is critical in establishing a positive first impression of the firm, gathering essential case information, and determining the viability of potential claims. The intake Specialist works closely with attorneys, nurse paralegals and other staff to ensure a seamless client intake process.
Responsibilities:
- Answer incoming calls and inquiries: Professionally and empathetically handle inbound phone calls and inquiries from potential clients who have been injured in accidents.
- Conduct initial client interviews: Gather detailed information about the incident, injuries, and damages incurred, employing active listening and compassion.
- Assess case viability: Apply basic knowledge of personal injury law to evaluate potential cases, including statute of limitations, causation, liability, and damages.
- Determine area of law needed: Determine if the potential client requires an area of law outside the firm's practice area. If so, refer to appropriate firm from list provided.
- Track referrals: Keep track of what clients were referred out and to what firm they were referred.
- Data entry and documentation: Accurately and efficiently record client information, case details, and communications into the firm's case management system.
- Potential client: If case is determined to be a viable case, pass potential client information onto the appropriate team within the firm.
- Administrative support: Assist with intake-related administrative tasks, including managing intake documents, organizing case files, and maintaining intake statistics.
Qualifications:
- Education: High school diploma or equivalent required; some college or paralegal certification preferred.
- Experience: Previous experience in a law firm, customer service, or call center environment desired.
- Communication Skills: Excellent verbal and written communication skills, with the ability to effectively communicate with clients from diverse backgrounds.
- Empathy and compassion: A genuine desire to help people in distress and provide comfort during difficult times.
- Active listening: Ability to attentively listen to clients' needs and concerns and accurately capture relevant details.
- Organization and attention to detail: Ability to manage multiple tasks simultaneously, prioritize effectively, and maintain accurate records.
- Computer Skills: Proficiency in Microsoft Office Suite and the ability to learn new software programs quickly.
- Legal Knowledge: Familiarity with basic personal injury law concepts and terminology preferred.
