We are accepting resumes for the position of Office Manager (administrative support & client service) in our Oak Park, IL office. Applicants should be self-motivated and true team players. The ideal candidate will be able to effectively coordinate meetings and other office events. They should be comfortable answering inbound phone calls, distributing mail to employees and handling outgoing mail. They should also possess a friendly demeanor so they can effectively interact with office visitors. Competitive salary/bonus and benefits are offered.


Responsibilities

  • In charge of First Impressions for clients and prospects
  • Support and collaborate with Advisors in the development/implementation of client comprehensive financial plans (cash management, risk management, employee benefits, estate planning, income tax, insurance, investments, and retirement planning), as determined by the Advisor
  • Manage the team’s calendar - scheduling of client meetings and other appointments
  • Become proficient with the firm’s contact management system, workflows, and processes
  • Coordinate the preparation of meeting materials and ensure completion of all meeting tasks
  • Play an active, value-added role during client meetings
  • Responsible for ongoing client support and communication
  • Serve as a point-of-contact for clients
  • Coordinating with our LPL virtual admin and LPL service groups
  • Responsible for consistently and effectively executing firm processes and operational duties in a compliant manner as determined by Compliance and Portfolio Operations
  • Supports and champions innovation and operational change to advance the firm’s organizational strategies
  • Be the point person for office communications (phone, emails, text messages, faxes, mail, FedEx, etc.)
  • Coordinate and organize client appreciation events
  • Assist with maintaining the office
  • Opportunity to participate in LPL’s administrative training program
  • Carry yourself in a professional manner (including within your community & on social media)


Qualifications

  • Have a Bachelor's Degree in a related field of study (i.e., financial planning, finance, business, etc.)
  • Have a friendly and upbeat demeanor
  • Be proficient in Microsoft Office suite (Excel, Word, and Outlook)
  • Be able to meet deadlines and be very detail oriented
  • Be very organized with the ability to deviate from one project to another
  • Be excellent at problem solving and communicating
  • Possess a strong work ethic and ability to multitask
  • Work well in a team-oriented environment
  • Demonstrate an ability to develop and cultivate relationships
  • Accept feedback and constructive criticism well
  • Be authorized to work in the U.S. without restriction as to duration
  • Pass a thorough background check
  • Pass any applicable pre-employment tests
  • Preferred, but not required to hold their Series 7, 66, and Illinois Insurance licenses
  • Have the desire to learn, grow, and advance in the role
