The Events Manager for Ambu USA is responsible for leading the planning/execution, project management, vendor management, post-event follow-up and reporting for the organization’s events at national, regional, and localized tradeshows, courses, and exhibitions. The individual will work closely with various marketing teams across the US business units, including the franchise/health care specialty marketing management owners, various communications and support team members to ensure Ambu’s events are effective, successful, and positively build on the company’s brand in the marketplace. The candidate will be responsible for building, organizing, and managing the event strategies and financial performance required to ensure successful experiences. This position is well suited for a highly organized individual with strong communication and project management skills applied with analytical approaches for performance improvement and brand building exercises.


Essential Functions And Responsibilities


  • Ensure Ambu events are well run, meet brand standards, and meet marketing objectives for the event
  • Build and manage the annual Event calendar, event logistics plan, and event budget, including monthly reporting on performance and quality
  • Lead weekly/bi-weekly event planning sessions for upcoming events/shows with full event/project teams
  • Coordinate, organize and manage all Ambu hosted/sponsored live events inclusive of: national trade shows, large internal meetings, regional and local meetings, educational sessions, etc.
  • Work with third party vendors to ensure timely completion of booth design, shipping, setup, and takedown.
  • Develop the regional trade show plan (calendar, registration, lead gen, metrics, summary)
  • Onboard new vendors into our systems to ensure proper payment and business engagement. Evaluate vendor partners on deliverables and budget plan.
  • Manage and maintain off-site storage for Ambu assets
  • Code, process, and route all event invoices through internal AP software ensuring proper payment to all vendors on a timely basis.
  • Plan and book event spaces, hotel room blocks, meeting rooms, and other trade show related events with advanced notice to optimize our location. Understand nuance of various Ambu stakeholders’ needs.
  • Coordinate exhibitor badges, maintain and communicate show attendee list, manage pre-show staff trainings and staff schedule
  • Lead planning, logistics and ordering of all booth services
  • Collaborate with downstream marketing lead to align on all event activities, products, displays, and materials.
  • Evaluate and manage third party logistics providers for movement of trade show/event assets in and out of required locations.
  • Manage the trade show budget and innovate to maximize ROI on event expenses.
  • Report on national show KPIs from yr over yr inclusive of spend.
  • Work with market managers and external vendors to develop tradeshow booth design and experience.
  • Use computer and online software to track logistics and communicate with team members
  • Ability to lift and move 30 lbs unassisted
  • At times to stand for the majority of a workday
  • Perform verbal communications to vendors and company personnel
  • Other duties as required

Travel


  • Ability to travel up to 35-40%
  • Trade shows may be held on evenings and weekends

Qualifications /Experience


  • 4+ years of association trade show management experience and internal meeting planning
  • Experience with project management
  • Proficiency with Microsoft Office Applications (e.g. Excel, Outlook, PowerPoint)
  • Proven communication (verbal and written) and administrative skills
  • Budget management experience
  • Excellent time management skills
  • Demonstrated ability to prioritize and take initiative in completing tasks with critical deadlines
  • Ability to solve complex logistical problems
  • Ability to remain professional and courteous within strict deadlines
  • Positive can-do-attitude

At this time, Ambu does not provide work visa sponsorship and all applicants must have current work authorization.


This position offers a hybrid work schedule combining in-office presence at our Columbia, MD location with remote work flexibility. Relocation assistance will not be provided.
