The Administrative Assistant supports the functions of the CHM Creative Teams. This role assists with scheduling, record-keeping, data analytics, reports, event planning, and other administrative tasks as requested. The Administrative Assistant reports directly to the Vice President of Communications and Media, but may also be tasked by other Directors within the CHM Creative Teams for limited assistance with their respective administrative needs.

Essential functions
Ministry and department cultural value
- Conduct oneself as a Christian and maintain the highest possible standards of biblical, ministerial, ethical and legal business practices
- Maintains a professional, helpful and friendly attitude and appearance toward the Ministry, members and all employees
- Conforms to the rules and regulations of the Ministry as outlined within the employee handbook
Administrative support
- Manage and maintain the Vice President’s and/or department calendars and appointments
- Manage purchase receipts and expense reports, keeping an eye on budgets
- Draft meeting notes for recurring and one-time meetings
- Assist in the planning and execution of various projects, such as event planning, marketing campaigns, and business initiatives
- Track employees’ performance (using various online platforms) and interpret data to determine whether KPI’s/goals have been achieved. Prepare a report for the Vice President at least quarterly.
- Preparing reports, reviewing contracts, filing, and other administrative duties as may be assigned
- Providing a degree of technical support as may be required for certain meetings (i.e. Teams meetings or Zoom calls)
Experience and skills required
Education and background experience
- Some college and/or several years of experience in administrative/project-related duties
- Excellent time management and organizational skills
- Excellent typing and communication skills
- Proven ability to handle confidential information with discretion
- Proficient in Microsoft Office and capable of learning new software platforms quickly
- Strong orientation toward data and is capable of interpreting data in a meaningful way; mathematical skills
