As Construction Office Administrator, you play a vital role within the entire company, working hand in hand with various departments. As the Construction Office Administrator, you will collaborate with various teams, manage documentation, and provide administrative support. This role facilitates effective communication between project teams, subcontractors, and vendors to ensure timely and accurate information flow. This role also acts as a liaison between construction departments and with other divisions of the company.

Responsibilities:

  • Sit at the front desk, answer incoming phone calls, and welcome visitors.
  • Responsible for management and tidiness of conference rooms and common areas.
  • Perform various office tasks such as mailing, copying, scanning/filing, purchasing supplies, etc.
  • Monitor various solutions in multiple software programs.
  • Schedule and coordinate occasional travel arrangements and bid/site calendar for crews and management.
  • Take the lead of all administrative tasks and initiatives for Construction Departments.
  • Assist in the preparation and distribution of project documentation, such as contracts, permits, and progress reports, ensuring compliance with regulatory requirements and internal protocols.
  • Process expense reports, vendor invoices, deposits, and receipts to reconcile monthly statements.

Qualifications:

  • Proven experience supporting organizations through various stages of growth and business cycles.
  • Strong exhibited leadership and interpersonal skills.
  • Strong ability to foster collaboration and influence among various leaders and individual contributors within a team and organization.
  • Effective communication ability with a variety of audiences and organization levels.

Compensation:

$15 - $22 hourly
