Job Title: Purchase Order Coordinator

Job Overview:

Key Responsibilities:

  • Purchase Order Processing & Management - Ensure the data and details of all purchase orders are correct and accurate before they are passed off to data entry. This includes checking for accuracy in pricing, quantity, case packs, payment terms and ship
  • Inventory Management - partner with the sales, operations and production teams to ensure orders are on time; request extensions and revisions from customers/buyers as needed.
  • Maintain accurate records and documentation of all purchase orders and communication and follow ups.
  • Communicate frequently and effectively with customers regarding order details and shipping updates. Ensure all internal cross functional teams are notified of changes or issues as necessary with timely follow ups.
  •  Manage and execute customer ticket orders through Fine Line and other nominated suppliers.
  • Collaborate with the production team on timelines for ticket ordering based on their production schedule.
  • Set up & tidy up showrooms with refreshments and meals for all meetings.
  • Assist sales team in sending samples to customers as requested.

Qualifications:

  • Highly proficient in Microsoft Excel and office, with advanced skills in formulas, V/X-lookups, and pivot tables.
  • Working knowledge of File Maker, Cold Lion and Fine Line is a
  • Previous experience in retail or wholesale is a
  • Prior experience reading retailer Purchase Orders is preferred (TJX, Ross, Burlington, etc)
  • Administrative writing & effective communication skills necessary.
  • Ability to multitask, prioritize and shift direction as needed.
  • Team player, willing to collaborate with and support various cross functional partners.
  • Strong attention to detail and commitment to accuracy in basic data entry and analysis.
  • Proactive and self-motivated with the ability to work independently.

Education and Experience:

  • Bachelor's degree.
  • Previous experience in a similar role is advantageous.
