GROUP COORDINATOR JOB DESCRIPTION


From the Miami office, the Group Coordinator is responsible for the operational execution of GROUP and CHARTER programs requested by Sales team, Travel Partners, or Management to arrange and manage the client’s expectations for Star Clippers in the Americas. We are looking for a well-organized and creative candidate with excellent communication and interpersonal skills, who is passionate about creating great experiences and working in a dynamic environment.

Overall, the Group Coordinator must be extremely well organized and have exceptional customer service and sales skills to address the many areas of revenue growth opportunities.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

·        Service incoming phone calls and emails pertaining to group bookings, finalization and/or group coordination giving high quality service. 

·        Handle calls and inquiries from Retail Travel associates, direct clients, sales team, and management

·        Maintain accurate and detailed records for Group & Charter departures.

·        Monitor groups & charters to meet multiple deadlines including payments, cancellations, and special amenities.

·        Review and manage requested group queue in conjunction with Supervisor.

·        Process all new group contracts within 24 hours and follow up within 1-3 weeks to ensure signed agreements & group fees are initially collected. 

·        Coordinate group & charter onboard events working with the customer/account and Ship Operations. 

·        Prepare Group Manifest/Checklist for each Group prior to sailing and send to ships. Review with customer/account that all information is accurate.

·        Finalize group accounting prior to sailing and review with customer/account that all accounting is accurate including commission totals. Research pending balances/overpaid balances and provide direction to accounting. 

·        Assist with projects as requested by department Supervisor and/or VP of Sales and Marketing. 

·        Perform other job related functions as assigned. 


Education & Experience

·        High School Graduate plus some college.

·        2 years of experience in coordinating group travel.

·        2 years Customer Service experience required.

·        Proven knowledge of travel industry terminology, products and booking systems.

·        Microsoft Office knowledge including Word, Excel, and Outlook.

·        The ability to retain and organize large volumes of changing information.

·        Professional & service-oriented mentality; High attention to detail.

·        Geography and international destination knowledge is necessary.

·        Candidates should possess decisive and successful problem solving skills.

·        Strong written communication, interpersonal and organizational skills.
