LGLNA is launching a major N. American logistics Expansion that includes truck brokerage, intermodal, warehousing, drayage, and freight forwarding.

Job Summary: The Senior Associate Fleet Operations is responsible for ensuring that the company’s fleet operations comply with all Department of Transportation (DOT) regulations. This role involves implementing DOT licensing, managing incident reporting, enforcing safety protocols, overseeing fleet maintenance, handling IFTA reporting, and developing spill prevention plans and environmental compliance strategies. Most importantly, this role will be responsible for ensuring all drivers comply with both FMCSA and company policies by using ELDs, driver logs, timecards, etc. The role will also include conducting regular safety meetings (a minimum of once every three months, as recommended by the FMCSA) and being willing to travel to multiple locations nationwide, including Canada and Mexico.

Duties & Responsibilities:

  • DOT Licensing Implementation:
  • Oversee the acquisition and renewal of DOT licenses for all fleet vehicles such as registration, UCR, SCAC, CARB, PDTR, UIIA, eModal, and other transportation-related renewals and updates.
  • Ensure all drivers have the necessary certifications and endorsements such as DQF, pull notice, EPN, Consortium, along with all required paperwork mandated by each location, including states, cities, and counties.
  • Maintain accurate records of all licensing and certification documents, and must have knowledge of how to obtain overweight, oversized, and Hazmat endorsements in each location.
  • Incident Reporting:
  • Develop and implement an incident reporting system for fleet operations by utilizing all current forms and software within the company.
  • Investigate and document all incidents, accidents, and near-misses, and most of the time, must be able to travel to expedite insurance processes.
  • Analyze incident data to identify trends and recommend corrective actions by using the current company platform that provides visibility for monitoring.
  • Driver Management:
  • Maintain driver qualification files for both company drivers and owner-operators.
  • Support transportation leaders in creating policies and SOPs for each individual location to fit their needs.
  • Audit owner-operators' fleets to ensure they have all the correct and accurate documentation and maintenance records required to haul freight for Lotte.
  • Reach out to each driver directly to ensure all safety protocols are followed by providing coaching.
  • Safety Protocols:
  • Develop and enforce safety protocols and procedures for fleet operations by meeting with each driver at each location to ensure that the company provides safety training.
  • Conduct regular safety audits and inspections of fleet vehicles with resources based on current trends. To achieve this, one must study and research to ensure the information is up to date.
  • Provide training and education to drivers on safety practices and compliance requirements. This must be done at least once every 3 months to ensure preventative measures are in place.
  • This includes company drivers, owner-operators, independent contractors, and partner carriers that move freight for Lotte.
  • Procurement of Fleet Vehicles:
  • Manage the procurement process for new fleet vehicles if required by operations during expansion and scaling. This must also be followed up with driver hiring.
  • Evaluate and select vendors based on quality, cost, and reliability by researching current market conditions and demands. One must be willing to seek the most cost-effective solutions.
  • Negotiate contracts and purchase agreements with suppliers in terms of length, price, and add-ons, such as service coverage.
  • Ensure timely delivery and proper documentation of all fleet vehicle acquisitions
  • Fleet Maintenance:
  • Oversee the maintenance and repair of all fleet vehicles to ensure they are in safe and operational condition by adhering to regulations required by each state for updating inspections, along with conducting internal audits to regularly check and prevent any mechanical failures.
  • Develop and implement a preventive maintenance schedule.
  • Coordinate with maintenance providers and manage maintenance records to ensure that all documentation is updated in preparation for an audit.
  • Monitor fuel usage for each fleet by each driver to prevent theft.
  • IFTA Reporting:
  • Manage International Fuel Tax Agreement (IFTA) reporting and compliance.
  • Ensure accurate tracking and reporting of fuel usage and mileage in case of an audit.
  • Maintain records and submit required reports promptly.
  • Spill Prevention and Environmental Compliance:
  • Develop and implement spill prevention plans to minimize environmental impact.
  • Ensure compliance with environmental regulations related to fleet operations.
  • Conduct regular environmental audits and inspections.
  • Provide training on environmental compliance and spill response procedures.
  • Compliance Monitoring:
  • Monitor fleet operations to ensure compliance with all DOT regulations.
  • Stay updated on changes in DOT regulations and adjust company policies accordingly.
  • Collaborate with other departments to ensure company-wide compliance.
  • Reporting and Documentation:
  • Prepare regular reports on compliance status, incidents, and safety performance.
  • Maintain comprehensive records of all compliance activities and documentation.
  • Present findings and recommendations to senior management.

Required Skills:

  • Bachelor’s degree from an accredited university OR 5 years of demonstrated fleet management experience or compliance
  • Strong understanding of DOT, FMCSA, and OSHA compliance regulations
  • Strong understanding of Hazmat compliance and accompanying regulations
  • Comfort level working with all Microsoft Products including Excel and some trucking-specific software such as Samsara or similar
  • Strong attention to detail, interpersonal skills, and ability to work across the entire organization
  • Strong organizational and time management skills, strong analytical and problem-solving skills
  • Excellent willingness to expedite improvements by implementing and acting.
  • Proficiency in compliance management software and tools
  • Ability to travel to various operational sights as needed
