Purpose/Summary: Client-facing individual contributor primarily responsible for administrative function and activities in boutique financial services firm who also performs high-level administrative support for CEO and office staff, anticipates needs, plans, and manages time efficiently.


Description of Duties*

  • guests and answer phone calls.

  • complex calendar and scheduling requirements.
  • coordinate and engage with leadership in planning and organizing events and meetings.
  • electronic and physical office and client files and implement system for secure storage and efficient access.

  • with insurance and investment companies to obtain client data.
  • compliance logs.
  • client correspondence and quarterly reports.
  • inventory of office supplies and order supplies as needed.
  • in writing and distributing company blog and newsletter.

  • and fun new brokerage accounts.

Summary of Qualifications

  • school diploma or equivalent required.
  • degree in office administration preferred.
  • years of administrative support with 3 in the financial services industry preferred.
  • with Microsoft Office applications.
  • of Salesforce preferred.
  • to handle confidential information with discretion.
  • written and verbal communication skills.
  • organizational and time management skills, attention to detail, and proven ability to meet deadlines.
  • to interact professionally with clients, associates, vendors, etc.
  • and Health and/or securities licenses are a plus.
