Executive Assistant to the Chief Operating Officer (COO)


Position Overview: We are seeking an experienced and highly organized Executive Assistant to provide comprehensive administrative support to our Chief Operating Officer (COO). The ideal candidate will be a proactive and resourceful individual with exceptional communication skills and a keen attention to detail. This role offers an exciting opportunity to work closely with senior leadership and contribute to the success and growth of our organization.


Responsibilities:

  • Serve as the primary point of contact for the COO, managing and prioritizing correspondence, emails, calls, and scheduling meetings and appointments.
  • Manage and prioritize the COO's Outlook inbox, filtering and responding to messages as appropriate and flagging urgent matters for immediate attention.
  • Ensure timely follow-up on emails and correspondence, coordinating with relevant stakeholders to facilitate prompt responses and actions
  • Coordinate and manage the COO's calendar, including scheduling internal and external meetings, conference calls, and travel arrangements.
  • Prepare and organize reporting for the COO’s review.
  • Prepare and organize materials for meetings, presentations, and conferences, ensuring that the COO is well-prepared and informed.
  • Assist in drafting, editing, and formatting various documents, reports, and presentations for internal and external distribution.
  • Liaise with internal departments and external stakeholders on behalf of the COO, maintaining professional and effective communication at all times.
  • Handle confidential and sensitive information with the utmost discretion and integrity, maintaining strict confidentiality at all times.
  • Proactively identify opportunities to streamline processes, improve efficiency, and enhance productivity within the COO's office.
  • Undertake ad-hoc projects and assignments as requested by the COO, demonstrating flexibility and adaptability to changing priorities and deadlines.


Qualifications:

  • Proven experience (ideally 5+ years) as an executive assistant or similar role, supporting C-suite executives or senior leadership in a fast-paced environment.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Candidate must demonstrate a willingness to embrace new technologies and processes to effectively support the COO in a dynamic and evolving environment
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels of the organization.
  • Proactive and resourceful problem-solver, with the ability to anticipate needs and take initiative to address them.
  • Discretion and confidentiality in handling sensitive information and matters.
  • Ability to work independently with minimal supervision, as well as collaboratively as part of a team.
  • Flexibility and adaptability to changing priorities and requirements in a dynamic work environment.
