About Us:

LHH is seeking a meticulous and organized Meetings Coordinator to join our client and ensure the seamless planning and execution of their meetings and events.


Position Overview:

The Meetings Coordinator will be responsible for managing all aspects of meeting planning and execution, from initial concept through to post-event evaluation. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.


Key Responsibilities:

  • Coordinate and manage all logistics for meetings, including venue selection, catering, transportation, and accommodations.
  • Develop and maintain relationships with vendors and suppliers.
  • Prepare and distribute meeting materials such as agendas, presentations, and minutes.
  • Ensure all meeting facilities are properly set up with the necessary equipment and supplies.
  • Handle attendee registration, including tracking RSVPs and managing attendee communications.
  • Assist in budget management, ensuring meetings are executed within budget.
  • Conduct post-meeting evaluations to gather feedback and identify areas for improvement.
  • Provide on-site support during meetings to ensure everything runs smoothly.
  • Maintain accurate records of all meetings, including contracts, agreements, and communications.


Qualifications:

  • Bachelor’s degree in Hospitality Management, Event Planning, Business Administration, or related field preferred.
  • Proven experience as a Meetings Coordinator or in a similar role.
  • Exceptional organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software.
  • Ability to work flexible hours, including evenings and weekends, as required.
  • Detail-oriented with a proactive problem-solving approach.
