Administrative and Finance Coordinator

Culver City, United States Infinity Marketing Team, LLC Full time

We are looking to fill an entry-level Administrative and Finance Coordinator position who will assist the Director and Finance and V.P. of Operations. Reports directly to the Director of Finance. 


A day in the life of a Administrative and Finance Coordinator:

  • Maintain calendars & meeting requests
  • Facilitate ongoing training on finance policies and procedures
  • Assist with accounts payable and employee expense reports.
  • Organize and manage receipts per project
  • Order and maintain inventory of office supplies for team
  • Pull Finance and Hours reporting for leadership review 
  • Pull Budget to Actual reports for ongoing projects  


Responsibilities:

  • Develop and implement organized filing systems
  • Process and submit employee expense reports
  • Enter vendor invoices into Accounts Payable system.
  • Generate/update spreadsheets (Excel)
  • Confirm banking information with outside vendors, insurance companies, and clients
  • Assist with projects, implementations, and training sessions related to process improvements
  • Collect and manage data on transactional activities including project related receipts and vendor invoice processing
  • Reconcile vendor quotes and overall budget with Finance / Accounts Payable teams
  • Support with providing reporting metrics based on initial cost estimate vs. actual spend
  • Perform all other office tasks the Director of Finance delegates

 

Desired Skills and Experience:

  • Minimum 1 year of experience in a Coordinator or Administrative support position with Financial responsibilities
  • Strong customer service and communication skills 
  • Self-motivated and highly organized
  • Must be proficient in Microsoft Word, Excel, Outlook, PowerPoint, and the Google Suite
  • Must be willing to work evenings and weekends when necessary
  • Ability to multi-task under tight deadlines
  • Excellent attention to detail and follow-up
  • Ability to thrive in a fast-paced workplace
  • Team player that works well with others and, is eager to learn and support a growing business
