We are seeking a detail-oriented and proactive Administrative Assistant/Billing Specialist to join our dynamic team. This dual-role position is crucial to maintaining efficient office operations and ensuring accurate and timely billing processes. The ideal candidate will have a strong background in administrative support, billing, and a keen interest in civil engineering.


Starting Salary: 


$47,800 to $52,500


Essential Duties: 

  • Provide general administrative support to the engineering team, including managing schedules, coordinating meetings, and preparing correspondence.
  • Prepare and process invoices for clients accurately and in a timely manner.
  • Track and manage accounts receivable, following up on outstanding invoices.
  • Coordinate with project managers and clients to resolve billing discrepancies.
  • Maintain detailed and organized billing records and documentation.
  • Assist in the preparation of financial reports related to billing and accounts receivable.
  • Ensure compliance with company policies and procedures related to billing and financial transactions.

Other Duties and Responsibilities: 

  • Assist in the preparation and distribution of project documentation and reports
  • Manage office supplies inventory and place orders as needed.
  • Maintain a well-organized and efficient office environment.
  • Other duties as assigned.


Requirements: 

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in Business Administration, Accounting, or related field preferred.
  • Proven experience as an administrative assistant and/or billing specialist, preferably in the engineering or construction industry.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and billing software.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multitask and prioritize workload effectively.
