Job Description 

Atana is looking for a detail-oriented, organized, and proactive Executive Assistant to assist our CEO with ensuring daily organization and success while staying true to Atana’s strategic goals and objectives. You would work in our headquarters office in Bellevue, WA and would have the opportunity to work with a passionate and driven team, contributing to the success of our CEO, as well as be a huge contributor to the growth of our company. Your ability to multitask and prioritize will be crucial in helping our CEO stay on track and meet his ambitious goals.

 

The ideal candidate will have executive assistant experience; proficient writing skills; social media aptitude and an eye for design; proven aptitude synthesizing other’s needs, and the ability to work easily with the CEO.


Primary Responsibilities

  • Ensuring smooth day-to-day operations including internal and external communication, managing schedules, and handling a wide range of administrative tasks with efficiency and professionalism.
  • Anticipating the needs of the CEO, prioritizing tasks, and maintaining a high level of confidentiality.
  • Generating and curating sales reports in Salesforce (experience preferred but not required).
  • Assisting with board management, including drafting minutes, board presentation and communication.
  • Manage and optimize the CEO’s daily, weekly, and monthly schedule, ensuring efficient use of his time.
  • Coordinating, scheduling, and confirming internal and external meetings, appointments, and conference calls.
  • Preparing meeting agendas, presentations, and related materials.
  • Arranging for meeting rooms, catering, and necessary equipment.
  • Handling last-minute changes and conflicts in schedule with poise and efficiency.
  • Maintaining an organized system of tracking and following up on meeting action items.
  • Maintaining an organized filing system for digital documents in OneDrive.
  • Recognizing opportunities to improve process efficiencies and implement them.
  • Infrequent coordination of travel including flights, accommodations, ground transportation, and other logistics.
  • Supporting the CEO in various special projects, which may include research, event attendance, or other initiatives.
  • Taking on additional responsibilities as needed to ensure the success of the executive and the organization. 
  • Writing: Draft, review, and edit emails, letters, and reports on behalf of the CEO. Ghost write and review business articles for the CEO. Liaise with internal departments, clients, and external stakeholders to facilitate communication and information flow. Assist the CEO in the preparation of reports, presentations, and other documents as needed.
  • Social Media Management: Assist CEO in LinkedIn responses, posts, and general engagement.


Requirements

  • Minimum of 3 years of experience as an Executive Assistant, with a strong focus on writing and research assistance.
  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Exceptional organizational and time-management skills.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, OneDrive, PowerPoint).
  • Strong written and verbal communication skills.
  • Ability to multitask, prioritize, and adapt in a fast-paced environment.
  • Attention to detail and a high level of accuracy.
  • Discretion and integrity in handling confidential information.
  • Proactive and self-motivated with a solution-oriented mindset.
  • Ability to work independently and as part of a team.
  • Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.


Opportunity & Compensation: $70,000 to $80,000 Commensurate with skills and experience.
