Purpose of the Accounts Receivable and Contracts Coordinator

The Accounts Receivable and Contracts Coordinator plays a pivotal role in supporting the Accounting team in managing the Company’s relationships with its customers and oversees contractual service agreements.

Job Responsibilities


Full-Cycle Accounts Receivable:


  • Set up new clients in CRM (Avionte), including setting up auto statement delivery.
  • Build relationships with clients via email and phone.
  • Verify bill rates, addresses, PO numbers as needed, and details on all invoices.
  • Mail/email invoices to clients.
  • Research invoice discrepancies and inform the Payroll/Billing team.
  • Maintain daily cash log and post in Avionte.
  • Review Aging detail reports daily.
  • Send past-due invoices and Aging reports.
  • Assist in collection efforts when necessary to maintain accounts current.
  • Keep supervisor informed of troublesome accounts.


Contract Management:


  • Build and maintain strong relationships with new and existing clients to understand their needs and provide support as needed.
  • Collaborate with counsel and regional sales managers to address client inquiries, concerns, and escalations related to contracts promptly and effectively.
  • Work closely with regional sales managers and counsel to develop/modify service agreements.
  • Organize and maintain all agency and client records, agreements, and correspondence.
  • Identify problematic terms and conditions of new and existing service agreements and work with counsel to resolve them.
  • Audit existing client profiles and service agreements to issue out contract renewals.
  • Maintain various reports that track client performance and status.
  • Manage client profiles to ensure the agency is compliant with all insurance requirements and assist in yearly insurance compliance renewal.
  • Manage and monitor scopes of work and insurance requirements.
  • Provides support on various accounting projects as assigned.
  • Performs other related duties as assigned.


Required Skills & Abilities:

  • Proficiency in MS Office skills; Word, Excel, Outlook.
  • Basic Knowledge of contracts and service agreements terminology.
  • Strong verbal and written communication skills.
  • Customer service focused.
  • Good organizational skills required.
  • Superb attention to detail.
  • Ability to multi-task efficiently.


Required Education & Experience:

  • High School diploma or GED required.
  • Some college in accounting or related field preferred.
  • 3+ years of Accounts Receivable / Accounting experience.
  • Experience with CRM software preferred.


Job Classification:

  • Location: This is an on-site position in Irvine, CA. Hybrid or remote work is not permitted unless approved in writing by both your Supervisor and the HR department.
  • Employment Status: Full-time. Non-exempt/Hourly.
