Overview:
We are seeking a detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support in various administrative tasks to ensure the smooth operation of our office.

Responsibilities:

· Receiving incoming phone calls and directing them to the appropriate personnel.

· Greeting and welcoming guests, clients, and vendors with a friendly and professional demeanor.

· Managing the company calendar to facilitate efficient scheduling and utilization.

· Conducting weekly inspections of office supplies to ensure proper stock levels are maintained.

· Assisting in equipment management, including inventory tracking and maintenance coordination.

· Securely storing and delivering personal protective equipment (PPE) and office supplies to staff members.

· Coordinating company activities, such as team-building events and social gatherings.

· Providing support in property maintenance tasks and effectively communicating with vendors.

· Generating a monthly newsletter to keep employees informed about company updates and events.

· Coordinate with the safety committee to create a safe and secure environment for all employees and visitors.

Qualification:

· High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.

· Proven experience in administrative roles or similar positions is preferred.

· Proficient in using office software, including Google Drive, word processing, spreadsheet, and presentation applications.

· Exceptional communication skills, both verbal and written, with a friendly and professional attitude. The candidate should demonstrate strong communication skills, including the ability to work effectively with individuals from diverse language backgrounds, showing patience, empathy, and a willingness to find alternative means of understanding and cooperation.

· Strong organizational skills and the ability to multitask and prioritize tasks effectively.

· Attention to detail and a commitment to maintaining a clean and welcoming office environment.

· Ability to work collaboratively and independently in a team-oriented setting.

· Flexibility to adapt to changing priorities and handle occasional after-hours events.
