Key Responsibilities:
- Serve as the primary point of contact for internal and external inquiries related to the Director.
- Act as the confidential executive assistant to the Director and Board of Directors, providing comprehensive clerical and administrative support.
- Assist in implementing and following up on Board decisions and requests.
- Facilitate smooth communication between the Director and internal departments, maintaining trust and support with the Director and Supervisors.
- Gather and analyze data on various administrative and policy matters, develop recommendations, and prepare reports.
- Provide administrative support to the Director and leadership team, including scheduling meetings, managing calendars, handling phone calls, drafting correspondence, creating spreadsheets and presentations, preparing expense reports, and maintaining files.
- Manage the Director's calendar, prioritizing critical items and scheduling meetings.
- Serve as the recording secretary for internal agency committees, including scheduling meetings, preparing agendas, and taking minutes.
- Handle highly confidential and critical information regularly.
- Ensure accuracy and completeness of materials and reports for signature.
- Facilitate the resolution of urgent/complex issues and notify the supervisor.
- Foster positive relationships with staff and various management levels to provide or gather sensitive and timely information.
- Interpret District policies, procedures, laws, and regulations in response to inquiries and complaints.
Qualifications:
- Strong knowledge of office administrative and management practices.
- Proficiency in sound business communication principles.
- Excellent English usage, including spelling, grammar, and punctuation.
- Familiarity with District organization, rules, policies, and procedures.
- Understanding of the functions of public agencies and the role of a public governing board.
- Knowledge of rules and regulations for public meetings.
- Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint) and Adobe Acrobat.
- Strong organizational skills with the ability to manage multiple priorities seamlessly.
- Ability to maintain confidentiality and operate with professionalism in a high-profile, rapidly changing environment.
- Excellent interpersonal skills to work cooperatively with other departments, District officials, and external agencies.
Compensation:
Salary commensurate with experience and qualifications.
Pay:
$18.00 per hour
