As a member of the Distribution Team, the Customer Service Specialist is responsible for serving as the first-line of contact for Distributor requests or inquiries regarding products, pricing, vendors and orders via telephone, fax, email and instant message by directly responding to the inquiry or routing the request to the appropriate party.

Position responsibilities:

  • Provide Customer Service support to our stores by fielding phone calls and e-mails. Provide quick and accurate information to stores regarding: available inventory, future inventory, status updates, transfer orders, pending orders and other questions on special programs.
  • Follows up with all Distributor request/inquiries to ensure satisfactory resolution. Tracks all requests/inquiries, identifies patterns and makes process improvement recommendations.
  • When necessary, directs stores to a more appropriate person or department to handle the non-purchasing request. Regardless of the request, Customer Service will always follow up with the stores to make sure they have received a satisfactory response necessary.
  • Monitors and processes incoming Receiving Discrepancies through the use of our RDT (Receiving Discrepancy Tracker) system and promptly resolves by coordinating with Distribution Centers and Vendors; Follows through on each RDT until resolved, escalating to appropriate managers as needed.
  • Provides Distributors with packing list reprints and information regarding freight charges and shipping information on "end-customer" dropship orders.

Position requirements:

  • Associate's degree (A.A.) or equivalent from a two-year college; at least 2 years of experience in a customer service position; or equivalent combination of training and experience; or equivalent combination of education and experience.
  • Ability to calculate figures and amounts such as discounts, interest, proportions, and percentages. Ability to apply concepts of basic algebra.
  • Ability to solve problems including listening to and interpreting and meeting the needs of others and diagnosing and implementing solutions; ability to collect data, evaluate results, and draw valid conclusions.
  • Ability to organize and follow through with complete fulfillment of customer requests.
  • Ability to listen to and communicate information to others verbally and in writing.
  • Skill in presenting a professional and positive demeanor.
  • Ability to maintain confidentiality of information.

Office Environment: Typical office building with most work performed at a desk using equipment such as PCs, phones, faxes, and paper files.
