General Position Summary

:

Provides administrative support services to the Service Group. Job assignments can vary depending on priorities that day.

Essential Job Functions

:

  • Enter work orders into Viewpoint (accounting/dispatch system) 2. Enter & Issue Purchase Orders into Viewpoint from PO Log 3. Backflow testing record keeping & updating City portals & gauge calibration 4. Help to maintain customer work order systems (Service Channel, Corrigo + others) 5. Provide daily back-up to Dispatch/Operations as well as cover full time when they are on PTO 6. Provide back-up to Agreement Coordinator with Maintenance Agreement updates 7. Provide back-up to generate invoices 8. Enter approved proposals from North Boundary and get set up in Viewpoint 10. Help agreement coordinator with material purchases 11. Perform credit card payments 12. Answer telephone and convey messages 13. Order technician Uniforms 14. Make phone calls to clients, vendors and subcontractors as needed. 15. Generate monthly past due invoice emails to customers 16. Generate and update Field On Call 6 month schedule and update answering service 17. Package and mail oil samples for testing 18. Regular attendance and promptness are considered part of each employee's essential job functions.
Secondary Job Functions

:

  • Set up new customers / sites in Viewpoint database 2. Update forms and lists as needed 3. Enter expense reports for Service Technicians 4. Document Service meetings and attendance 5. Assist in keeping Service Group office area orderly 6. Order office supplies as needed
Skills Required to Perform the Essential Duties of the Job

:

  • Proficiency with MS Outlook, Excel, Word, PPT, and Project.
  • Accuracy and efficiency with administrative and clerical procedures and best practices. including filing and records management systems.
  • Professionalism and efficiency communicating on the phone and taking messages.
  • Excellent organizational skills.
  • Ability to work effectively with a team as well as independently.
  • Ability to manage multiple interruptions and manage priorities.
Education/ Experience Requirements Needed to Perform the Essential Duties of the Job

:

  • AA or three (3) years customer service job experience (or equivalent) preferred.
  • Customer service experience required.

Paid Time Off:


Eligible employees begin accruing PTO as of their date of hire and accrual rates are based on years of service.

UMC follows the required WA State Sick Leave guidelines and employees are provided (1) for every 40 hours worked as part of the PTO package.

UMC also offers (7) paid holidays, plus (1) Floating Holiday to be used within the calendar year.
