Position Summary


The mission of UNC's Division of Student Affairs (DSA) Administrative Service Centers is to provide customers with quality, timely and efficient services.

Our ASC will achieve this mission by utilizing technology, cultivating the skills of our staff, and building strong relationships with campus customers.

Our ASC will operate with the understanding that we live in a competitive environment and our goal is to ensure efficient and effective service.

The Human Resources Specialist of Student Affairs in our ASC will serve as the HR liaison for their unit. The HR Specialist will be responsible for processing HR transactions in Banner for faculty, staff, and students. They will recruit applicants, review resumes, assist in conducting interviews, and perform background checks.

The HR specialist will help to orient new employees by explaining university policies, procedures, and ensure a smooth transition during onboarding.

Staff members within the Division of Student Affairs are expected to positively contribute to our mission of supporting students in the co-curricular environment and provide an experience that inspires students academically, intellectually, personally, and emotionally.

Job Duties

A. Student Employee Hiring (25%)

  • Process Student Employment and EPAF Entry Forms in Banner to initiate the student hiring process; forms will be entered into Banner by HR Specialist within three business days of hire.
  • Work with student employees on the completion and submission of all necessary hiring documents required.
B. Classified / Exempt Hiring Process (40%)

  • HR Specialist will collect/prepare the required paperwork (Request to fill vacancy, PDQ,
Org chart, etc.) for posting a position and submit all documents to PeopleAdmin. They will
be responsible for posting the job to any additional publications or listservs.

  • HR Specialist will serve as the primary search admin for departmental searches. In times of
high volume of searches, HR Specialist will work with the department to designate an
alternative search admin. This person is responsible for answering applicant questions,
collecting documentation for the search committee, and ensuring the committee has the
necessary resources to select the best applicant. Additionally, will assist in scheduling
applicants for phone and finalist interviews, assist with travel requirements of finalist, assist
as needed procuring interview spaces and sending out calendar invitations to the division.

  • Assist in preparing and submitting all required paperwork to close a search including the
collection of all posting announcements, interview notes, screening criteria, as well as
preparing the position finalist form and search chair check for submission to HR Central.

  • Work directly with newly hired staff to complete all new hire documents including Personal
data form, W4, direct deposit agreement, social security waiver, WC Act Notice,
Injury/Illness reporting, Fitness for Duty policy, as required by Human Resources within
five days of hire.

  • HR Specialist will prepare and submit payroll data forms at least six business days prior to
payroll processing. HR Specialist will confirm with Payroll department the receipt and
processing of Payroll data form. Submit account access and additional account access
requests to the Help desk at least three business days prior to an employee starting or
transferring into the department.

  • Prepare and process Personal Service Agreements as needed for additional work assumed by
faculty and/or staff

C. Volunteer and Tech Pro / University Aide Hire Paperwork (10%)

  • Prepare and process all required paperwork for volunteer staff within the division as well as
all Tech Pro and University Aide positions

  • HR Specialist will enter background checks into HireRight within one business day of
receiving release form for Tech Pro and University aides hires. HR Specialist will notify
hiring authority of background check within one business day of receipt.

D. Professional Development Support (5%)

  • HR Specialist will ensure employees within their designated division or college have
completed all required compliance training within 90 days of hire by tracking completion.
Compliance trainings include sexual harassment prevention, FERPA, and cyber security for
all employees. Additional trainings may include HIPAA and PCI compliance for employees
who work with health records and/or process credit cards.

E. GA/TA Hiring (5%)

  • HR Specialist will prepare Graduate Assistant Agreement form, collect all new hire
paperwork and all additional forms required to submit to Grad school via Xtender for
processing within five days of receipt. The I-9 will be sent to HR within two business days
of receipt.

F. New Employee Onboarding (10%)

  • HR Specialist will be the designated departmental contact to ensure that all new hires
complete the University onboarding process within their first two weeks of hire date. The
HR Specialist is also the designated contact for HR and for new employees who have
questions about onboarding and will complete the new employee onboarding checklist for
each new employee.

G. Committee / Division Meeting Support (5%)

  • Support committee and division meeting functions as appropriate.
H. Duties may shift as assigned

Full-time employees are eligible to receive tuition waiver benefits, as well as dependents and spouses of UNC Employees who are employed at 0.5 FTE or above are eligible for undergraduate dependent tuition grants of up to 50%.

These tuition grants will cover in-state tuition charges. Further requirements may exist. Other benefits may be available based on position.
