Overview:
As a Dental Office Manager, you will play a pivotal role in the smooth operation of the practice.
You will oversee administrative tasks, manage staff, coordinate patient scheduling, handle billing and financial matters, and ensure the overall efficiency and effectiveness of the office.
This position requires strong leadership skills, exceptional organizational abilities, and a dedication to delivering top-notch patient care.Key Responsibilities
Team Leadership:
Supervise and motivate office staff, including dental assistants, receptionists, and administrative personnel. Provide guidance, support, and training as needed to maintain a cohesive and efficient team.
Administrative Oversight:
Manage day-to-day operations of the dental office, including but not limited to scheduling appointments, maintaining patient records, handling inquiries, and ensuring compliance with all relevant regulations and protocols.
Financial Management:
Oversee billing and accounts receivable processes, verify insurance coverage, and handle financial transactions. Monitor and optimize office expenses to ensure profitability.
Patient Care Coordination:
Coordinate patient scheduling, manage appointment reminders, and address patient inquiries and concerns in a timely and professional manner. Strive to enhance the patient experience and maintain high levels of patient satisfaction.
Inventory and Supplies Management:
Monitor inventory levels of dental supplies and equipment, place orders as necessary, and ensure adequate stock to support daily operations.
Quality Assurance:
Implement and enforce quality assurance protocols to uphold clinical standards and ensure compliance with regulatory requirements. Collaborate with dentists and other clinical staff to maintain a safe and hygienic environment.
Qualifications:
- Experience in a dental office management role (min 2 years).
- Proficiency in dental office software (e.g., Dentrix, Eaglesoft) and Microsoft Office suite.
- Strong leadership and interpersonal skills, with the ability to effectively communicate and collaborate with staff and patients.
- Excellent organizational abilities and attention to detail.
- Knowledge of dental billing and insurance processes.
- Understanding of HIPAA regulations and other relevant healthcare compliance standards. *Benefits:

Responsibilities:
The following office manager duties are noted; however, other duties may be assigned:
Achieves revenue goals by effectively managing patient scheduling, staff productivity, collections and receivables, specialty referral process, and miscellaneous operations expenses.
Increases and stimulates new patient growth by supporting sales, marketing and promotional programs.
Recruits, hires and develops office teams capable of providing best in class patient care.
Directly supervises office teams and proactively manages their performance and development including but not limited to performance feedback, appraisals, and corrective actions.
Communicates with office teams regularly to ensure they have the information, tools, and support needed to perform their jobs effectively and successfully.
Completes administrative tasks, such as flash report review, bank deposits, revenue posting, staff payroll and bonus, accounts receivable reports and invoice processing correctly and within deadline.
Maintains patient data to include required regulatory chart documents, personal information, treatment consultation documentation, account history transactions and electronic QSI data.
Maintains facilities and equipment cleanliness and safety and reports and/or corrects hazards when necessary in compliance with all state and federal regulations, including OSHA.
Responds to doctor, patient and employee grievances, complaints, and inquiries and seeks assistance when necessary.
Continually works towards building and sustaining a joined leadership work environment with doctors.
Performs other duties as assigned.
Qualifications:
Education & Experience
Must have management/supervisory experience within a dental office, prefer 2-3 years
Must have experience working in a dental, medical office required
Must have experience in insurance
