The Hotchkiss School seeks an organized, detail-oriented, enthusiastic individual who works well collaboratively. This individual will have experience working in an athletic department in a high school setting.

The Associate Director of Athletics position involves implementing a program to develop leadership skills among team captains, supporting coaches, and coordinating facility usage in the athletic building. Operating on a 10-month basis with additional duties during breaks, responsibilities include administrative tasks, coaching, coach development, and student-athlete recruitment. Qualifications include experience effectively working with adolescents, strong interpersonal and organizational skills, proficiency in software such as Microsoft Word and Excel, and a proactive, team-oriented attitude.

GENERAL DUTIES AND RESPONSIBILITIES

Coach Development


  • In close collaboration with the Director of Athletics, assist in carrying out coach development and training plans, including:
    • develop and maintain a coaching handbook and support coaches with the adoption and implementation of the guidelines.
    • design and implement a student leadership curriculum.
  • Coordinate and schedule activities with student leaders (e.g. proctors, captains), aligned with the priorities and goals of the program.
Administrative DutiesIn close partnership with the Director of Athletics, assist in leading the development and implementation of comprehensive athletic programs that align with the School's mission and values.
  • Oversee scheduling of practices, games and facilities of all athletic teams, including but not limited to:
    • Daily athletic scheduling updates;
    • Lead website liaison with the communications office; developing, and maintaining all content;
    • Maintain accurate and timely records of rosters, game results on the website, and student participation.
  • Facilitate all communications between parents, faculty, students, and administrators with regard to scheduling, officials, incoming and outgoing mail, phone calls, etc.
  • Assist in creating and maintaining the policy and procedure Coach's Handbook and other policies and documents that support theathletic department.
  • Maintain all required deadlines for rosters, tournament applications, league dues and other NEPSAC requirements.
  • Maintain and process all student records, awards and supporting documents that make up a student's co-curricular career through the Student Information System (SIS currently Veracross) and generate the rosters and information for faculty, staff, students and parents or other constituencies as needed.
  • Organize and maintain the coaching records of faculty, staff and outside coaches.
  • Assist in the preparation of reports and projects to provide tracking information as needed for various constituencies within the School (e.g. Trustees, Admissions, Alumni and Development).
  • Schedule athletic competitions for all three seasons, and upload and maintain all team schedules per season on the school's external website.
  • Coordinate with the Business Office in compliance with all outside officials & ensure timely payment.
  • Confirm game times, locations and transportation with competing schools to ensure information and logistics are up to date, at least weekly.
  • Oversee all overnight athletic travel, including pre-season and postseason trips, including but not limited to:
    • Assist coaches with travel arrangements, making hotel, car rentals, paying registration fees, arranging payment of per diem, mileage reimbursement and other travel or conference-related expenses.
    • Collaborate with the off-campus travel task force to encourage, progress and improve travel experiences for athletes and coaches.
    • Develop and publish a guide for coaches who travel with teams, to ensure clarity of expectations (e.g. pre-season, mid-season or out-of-season trips).
  • Organize athletic awards banquets, receptions and tournaments, including but not limited to
    • produce all certificates for each awards season (Coaches Award, Career Certificates, Founders All League, New School Record, etc.).
    • order all awards per season,
    • update database programs reflecting each awards ceremony (4x a year), create season summaries (fall, winter and spring), and
    • update the School's external website.
  • Track and purchase all office supplies including official athletic department stationary, all school certificates and league certificates.
Student Athlete Recruitment:
  • Work closely with the Athletic Director and the Dean of Admissions to develop and implement strategies to attract excellent student-athletes to Hotchkiss.
  • Research potential feeder programs (e.g. summer camps, tournaments, showcases and middle and high schools), to help the Athletic Directors and varsity coaches develop a recruitment strategy to identify talented scholar-athletes who have potential in the Hotchkiss admission process.
  • Strategize with the Alumni & Development Office to identify and contact Hotchkiss Alumni to assist Hotchkiss in expanding admission networks.
  • Conduct research regarding what comparable institutions are doing to continuously improve their athletic programs.
  • Other duties as needed and assigned.
QUALIFICATIONS AND SKILL REQUIREMENTS
  • Bachelor's degree required. Master's preferred.
  • Essential: Demonstrated interest, experience, and skill in working with adolescents.
  • Strong competencies in diversity, equity, inclusion, belonging, and justice, as well as evidence of deep personal equity work.
  • Proficient interpersonal skills required to efficiently and courteously manage a diverse group of constituents.
  • Previous experience in an athletic department or leadership training/education preferred.
  • Excellent organizational abilities, attention to detail and consistent accuracy, with precise verbal and written communication skills.
  • Proficiency in Microsoft Word and Excel.
  • Self-starter with a collaborative, team-oriented approach.
PHYSICAL CONDITIONS
  • Work is conducted primarily in an office environment.
  • Operates keyboard, and computer.
  • Moderate to frequent lifting/carrying up to 25 pounds.
  • Moderate to frequent standing and stooping, mostly when assisting with events and productions.
  • Must be able to traverse between the office and various areas of the athletic and campus facilities.
