Overall Summary:

The Billing Analyst role at IWCO involves gathering data, creating invoices, and streamlining billing procedures for prompt and accurate customer invoicing.

Primary Duties/Responsibilities

• Collate and assess essential data for client invoices.
• Compute, review, compile, and distribute daily billings and monthly billing reports.
• Investigate and resolve identified discrepancies while elucidating variances.
• Input invoices into third-party electronic billing platforms.
• Address customer communications promptly and resolve concerns in a timely manner.
• Extract financial and billing details from contracts.
• Assist in monitoring client contracts.
• Support in managing AR Aging, financial audits, and data display.
• Take charge of special projects or initiatives as needed.
• Maintain updated documentation of practices and procedures.
• Analyze job pricing and performance, as needed.
• Liaise efficiently with Accounting, Production, Account Services, and Sales teams to expedite resolution of billing inquiries and problems.
• Manage client invoice files and archives as necessary.
• Conduct WIP Review and Reconciliation.
• Perform Finished Goods Analysis (Lettershop, Print, and Outsourcing).
• Supervise Pricing Adjustment System Reporting.
• Review completed jobs, comparing actual production costs to pricing estimates for accuracy.
• Analyze manufacturing expenditures and prepare reports contrasting expected production costs to actual costs.
• Utilize Monarch, Verticent, and PSI Systems for billing completion; maintain Verticent client pricing tables for designated clients.
• Undertake other relevant duties as assigned.

Required Skills/Abilities/Competencies:

• Proficient in Microsoft Office applications, including Word, Outlook, and advanced Excel.
• Skilled in SharePoint applications.
• Display capability to prioritize, organize effectively, and adapt to varying workloads and situations.
• Utilize Monarch, Verticent, and PSI Systems for billing completion; maintain Verticent client pricing tables for specific clients.
• Exercise discretion in handling sensitive and confidential information and situations.
• Excellent communication skills with a collaborative approach to all staff and leadership levels.
• Strong time management, organizational, and problem-solving skills with the ability to work autonomously.
• Exceptional customer service skills, both internally and externally.

Education and Experience:

• Associate's Degree in Accounting, Business Administration, or related field required.
• Preferably 3-5 years of experience in job cost accounting, particularly in custom manufacturing. Industry expertise is advantageous.

Physical Requirements:

• Capacity to work continuously for 8-hour shifts.
• Extended periods of desk work and computer interaction.
• Ability to successfully complete pre-employment drug screening and background checks.
