Summary:

The Administrative aspect of our Crew Management Department involves providing the vessel and Owner of vessel with updates and facilitating the needs related to the management of current Crew and their compliance. Vessel's designated Crew Manager will be the Owner's primary point of contact for these functions while Junior/Assistant Crew Manager will report and assist Crew Manager in charge.

Responsibilities (but not limited to)

  • Starting the onboarding process via IYC onboarding system and gathering documentation for incoming Crew members
  • Checking references of potential new candidates for all positions onboard the vessels
  • Periodic and continuous review of Crew member's certificates and documentation ensuring that compliance and IYC Crew Management guidelines are always followed
  • The timely issuance of Seafarer's Employment Agreements (SEA), Crew Service Agreements and Crew Handbooks with a final verification and approval given by Crew Manager in charge of the vessel
  • Continuous communication with Flag State authorities to keep up to date with regulations, processing endorsements and seaman's books requests etc
  • Adding and removing Crew members to Vessel's Medical Insurance plan and distributing cards as needed
  • Handling Medical insurance claims together with Vessel's Crew Manager, working also with Insurance Broker, Crew, Owner, Flag State and Yacht Manager as needed
  • Creating Crew Monthly Reports and sending to Vessel's Crew Manager for a final review and approval before completing for entry into Vessel Monthly Report
  • Keep track of changes to ensure the accuracy of Crew monthly reports
  • Assist with payroll process as needed and upon Crew Manager's request and clear instructions

Additional Responsibilities

  • Training Crew members as needed on IYC Crew App
  • Booking or assisting with the booking of flights and visa appointments for Crew members and issuing supporting letters
  • Other administrative tasks as requested by Vessel's Crew Manager
  • Requirements/Skills
  • Industry experience is recommended; willing to train
  • Minimum 2 years Administrative experience
  • Strong computer skills, including Word, Excel/Google Docs, Google Sheets, Outlook, Google drive
  • Strong photo editing skills
  • Experience with CRM platforms preferred
  • Well-versed in Social Media
  • Strong written and verbal communication skills
  • Strong multi-tasking skills
  • Driven, proactive, self-motivated
  • Flexible
  • Strong attention to detail
  • Excellent follow-up skills
